Representative job duties include:

• Assisting the City Clerk and Deputy City Clerk with the election process.
• Providing customer service to internal and external customers; addressing and resolving customer questions when possible and referring complex inquiries, requests, or complaints to the appropriate staff.
• Reviewing election laws and State Bureau of Elections policies; recommending new procedures as necessary. Drafting election manuals and documents for election workers and officials; assisting in designing required forms.
• Serving as project leader for a variety of activities and other special projects as assigned.
• Performing administrative tasks related to the voter registration system and the Qualified Voter File (QVF).
• Coordinating, scheduling, and training election inspectors; arranging polling locations and voting equipment.
• Composng routine correspondence; proofreading and editing documents; entering, scanning, updating, and maintaining information in spreadsheets, databases, and reports; sorting, copying, and distributing a variety of correspondence.
• Working with the City Clerk and Deputy City Clerk to provide input on departmental decisions; maintaining the department's election-related filing and records system.
• Performing other duties as assigned.

Job Requirements

• High school diploma or GED equivalent required; Associate Degree in Business, Accounting, or a related field preferred.
• Minimum of four (4) years of related experience required. All four (4) years must include experience working with the Michigan Qualified Voter File and Michigan Qualified Voter File Refresh. Certification in Election Administration is a plus.
• Experience setting up and using voting equipment, including EPBs.
• Proficient in Microsoft Word, Excel, and PowerPoint; ability to learn election software applications.
• Demonstrated dependability, reliability, and flexibility; good attendance and punctuality are essential.
• Must be available, as needed, throughout the year for evening and weekend meetings, as well as during the week and on weekends throughout election season.
• Effective listening, written, and oral communication skills; excellent organizational and analytical skills; ability to simultaneously manage multiple project deadlines in a prioritized manner. Must maintain confidentiality.
• Highly effective communication skills for training and presentations, with a positive public service attitude.
• Ability to build and maintain working relationships with the public, staff, elected officials, other governmental agencies, and municipal constituents. Must be a self-starter and work independently after receiving initial guidance. Ability to work tactfully under stressful conditions and the pressure of deadlines and changing priorities.
