Practice Coordinator

The Practice Coordinator is responsible for managing the front office daily activities for their practice location, ensuring quality customer service to in‑person and remote patients and clinicians. Compensation & Location Hourly rate: $17.75 - 18.75/hour, with quarterly bonus/incentive potential. Location: 11840 Kingstone Pike Suite B, Knoxville, TN 37934. Duties / Responsibilities Operational Excellence – Create a positive work environment; support in‑office clinician and staff engagement activities to promote culture, engagement, and connection. Conduct schedule preparation for all patients, ensuring paperwork, documentation, credit card status, demographics, and patient chart readiness. Perform general office duties, maintain cleanliness and appeal, sort mail, scan documents, manage e‑faxes, shared office email, and overall office upkeep. Patient Support – Provide exceptional customer service, respond quickly to patient needs, manage potentially difficult or sensitive situations by following Crisis and De‑escalation Processes. Handle front desk responsibilities: greeting, checking in/out patients. Assist patients via phone, email, or portal with payment, billing, scheduling, release requests, and miscellaneous inquiries. Manage phone queue, ensure timely answers. Support telehealth access, Patient Portal issues, and other troubleshooting. Triage urgent requests, direct to correct departments or escalate. Collect in‑person and telehealth co‑payments and account balances, complete insurance eligibility verification and resolve issues. Clinician Support – Assist clinicians with administrative questions or duties such as sending letters or faxes. Coordinate additional patient questions. Support clinician schedules by auditing for appointment accuracy. Maintain a pleasant, secure, and motivational working environment in the practice. Required Skills / Abilities Ability to multitask and prioritize duties to support delivery of high‑quality patient experience. Ability to work independently and as part of a team. Strong written and verbal communication skills. Proficiency in software applications (Microsoft Office & EMRs). Comfortable handling sensitive and confidential information (HIPAA). Education & Experience High School diploma or equivalent required; associate’s or bachelor’s degree preferred. 1+ year of experience in healthcare operations, customer service, or a similar role or setting preferred. Physical Requirements Employee is required to sit, stand, bend, talk, hear, walk, and lift up to 25 pounds.
