Occupancy Planner

Summary We are seeking an Occupancy Planner to deliver occupancy and space solutions that achieve our client's corporate real estate strategies. This role reports to a Regional Manager and will interact with business stakeholders and the Real Estate team. The position is based in Charlotte, NC but we are open to candidates in the nearby NC, SC region if willing to travel occasionally. What this job involves As an Occupancy Planner, you will support and develop workplace solutions for a variety of workplace projects. You will be part of a planning team that solves occupancy and space issues within the framework of our client's workplace program guidelines and metrics. You'll interact directly with our client's internal Real Estate team and Line of Business partners. You'll also work as part of a diverse and integrated team including Occupancy Planning, Market Planning, Relocation Management, and Project Management. Relationship Management / Delivery Build relationships with end user customers to understand their business needs, promote workplace solutions and concepts, and resolve workplace issues. Advocate for clients and partner with them to understand and support their real estate goals. Answer questions about the workplace program, space, occupancy and allocations for assigned business lines and use knowledge of workplace conditions to create space solutions and resolve requests. Partner with a variety of teammates dependent on the work performed. Communicate and collaborate with the move coordination team to support schedules and tactical moves. Prioritize tasks and reorganize time to support dynamic workload and client requests. Occupancy Planning Expertise Familiarity with space utilization methods and presenting utilization data. Work closely with clients to reconcile data discrepancies and track/ report actual seat demand at the group level. Plan and maximize capacity, assist clients in migration plans, group and individual moves using qualitative and quantitative data to understand supply and demand. Develop occupancy and space solutions—including stacking plans, block plans, allocation plans, and adjacency diagrams—with AutoCAD, PowerPoint and Excel. Support project types at existing and new properties, including co‑locations, scenario planning, flexible workspace, workplace renovation and densification, restacking and team consolidations. Gather workplace requirements/scope through programming, asking the right questions and active listening. Track and manage occupancy data, gather space and adjacency requirements, fulfill space requests and move work orders to ensure timely completion and regulatory compliance. Aggregate data from multiple sources and develop clear options for client review and decision‑making. Provide accurate and thorough scope documentation, including move lists, pricing options and execution plans for handoff to project management partners. Workplace Analytics Analyze workplace utilization, building data, organizational data and occupancy metrics at campus and metro level using CAFM/IWMS and Microsoft Excel. Manage space allocations and data accuracy using CAFM/IWMS. Ensure seat assignments comply with adjacency and compliance requirements and resolve non‑compliant seat assignments in a timely manner. Perform physical space audits/walkthroughs as required for relocation projects. Qualifications and Requirements Commercial interior space planning skills using AutoCAD. Strong spatial skills with experience in implementing workplace strategies and translating business requirements into space requirements. Working knowledge of occupancy utilization, workplace strategy, office design principles and floor plan interpretation. Critical thinking and data storytelling skills. Proficiency in Microsoft Excel, PowerPoint and Office Suite. Creative and analytical thinking for developing and presenting macro and micro‑level data to support recommendations. Collaboration and multi‑tasking skills with initiative. Relationship building and client‑focused communication. Responsiveness to project commitments and goals. Strong organizational skills to manage client information and project details. Excellent written and spoken communication skills, including the ability to interact with executive‑level clients. Strategic thinking, simplification of complex concepts, vision‑setting and a results orientation. Attention to detail and accuracy, especially with numbers and spatial creativity. Resourcefulness, initiative and negotiation skills. Ability to work independently and meet deadlines. Proficiency with CAFM/IWMS database (e.g., OpenBlue Workplace, Tririga, Archibus) and graphic tools (e.g., Adobe, AutoCAD). 2–3 years of work experience in occupancy or space planning for corporate clients, or in interior office planning, office renovations, furniture planning, project management or related functions. Bachelor's degree in interior design or architecture required. This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.
