Purchasing Agent

Established in 1986 in Orlando, Florida, Advanced Refrigeration & Air is a family-owned and operated company with five locations across the state. For over 40 years, we have set the industry standard in commercial refrigeration and air conditioning, serving leading grocery retailers, restaurants, and commercial businesses throughout Florida, South Georgia, and Alabama. We are currently seeking a Purchasing Agent to support our Service team.
The Purchasing Agent provides administrative and operational support to field managers by coordinating the procurement of materials for the service department. This role ensures timely ordering, cost-effective sourcing, and accurate tracking of all purchase orders.
Key Responsibilities
- Receive and process material requests from field management via email
- Complete material request forms and coordinate with warehouse staff
- Source non-stock items from vendors and generate purchase orders
- Create, log, and track all purchase orders in the system
- Communicate order status updates to requestors in a timely manner
- Coordinate emergency material pickups with warehouse personnel
- Follow-up with vendors on backordered or delayed items
- Resolve discrepancies, including incorrect orders and returns
- Process credits for returned, excess, or restocked materials
- Compare vendor pricing to ensure cost-effective purchasing decisions
- Complete quote forms for work orders requiring approval
- Provide backup support to the Construction Purchasing Agent as needed
Required Skills & Qualifications
- 1–3 years of purchasing or related experience required
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and meet deadlines
- Proficiency in:
- Microsoft Excel
- Outlook
- SharePoint
- Microsoft Great Plains (preferred)
- Strong communication and problem-solving skills
Education
- High School Diploma or GED required
- Relevant work experience considered in lieu of additional education
