Accounts Receivable (AR) & Billing Specialist
Location: In Office | Monday–Friday
Schedule: Full-Time

About the Position

We are seeking a dependable, detail-oriented Accounts Receivable (AR) & Billing Specialist to join our administrative office team. This role is responsible for managing day-to-day accounts receivable, billing, invoicing, collections, customer account maintenance, and administrative support functions . The ideal candidate thrives in a fast-paced office environment, communicates professionally, and takes ownership of assigned responsibilities.

This position is critical to maintaining accurate financial records, ensuring timely collections, and supporting efficient office operations.

Key Responsibilities

1. Generate, review, and process customer invoices accurately and on schedule
2. Verify supporting documentation is complete prior to invoicing
3. Review pricing, quantities, and billing terms for accuracy
4. Apply and post customer payments to appropriate accounts
5. Manage accounts receivable balances and payment activity
6. Research and resolve billing discrepancies and customer account issues
7. Perform professional collections efforts on outstanding balances
8. Contact customers regarding past-due invoices and payment status
9. Answer incoming calls and assist customers with billing and account inquiries
10. Maintain organized and accurate customer account records
11. Create daily reports and track account activity using Microsoft Excel
12. Prepare and maintain weekly Accounts Receivable Aging Reports
13. Provide management with account status updates and reporting information
14. Support additional administrative and office duties as needed

Qualifications

4. Strong written and verbal communication skills
5. Customer service mindset with professional phone etiquette
6. Ability to identify discrepancies and resolve issues independently
7. Reliable attendance and ability to work on-site Monday–Friday
8. Comfortable working in a fast-paced office environment

Required Skills

1. Microsoft Excel (sorting, filtering, basic formulas, reporting)
2. Data entry and record management
3. Accounts Receivable (AR) processes
4. Billing and invoicing experience
5. Collections and payment follow-up
6. Administrative office support

Preferred Qualifications

1. 1–3 years of experience in Accounts Receivable, Billing, Accounting Support, Administrative Support, Bookkeeping, or Office Administration
2. Experience using accounting software or ERP systems
3. Previous collections experience preferred
4. Experience with customer account management
