Clinic Business Representative

As the first point of contact as a Clinic Business Representative, you’ll create a welcoming experience while ensuring accurate, efficient registration that sets the tone for quality care. Key Position Details Location: 11269 Jefferson Hwy N, Champlin, MN 55316-3123 Date Posted: May 28, 2026 Department: Allina Health Group Champlin Shift: Day (8‑hour shift), no weekends, 40 hours per week Employment Type: 1.0 FTE (80 hours per two‑week pay period) Union Contract: Non‑Union‑NCT Rotation: None Responsibilities Greet and welcome patients to Allina in person or by phone. Conduct the registration process: collect demographic and financial data, enter information into the electronic medical record, and provide appointment‑specific forms. Obtain signatures and collect co‑pays or remaining balances. Respond to questions regarding financial assistance programs and perform end‑of‑day reconciliation. Assist with telephone encounters, identify key words, and use de‑escalation techniques when needed. Direct patients to the appropriate appointment or procedure. Handle prescription refill orders as appropriate and in scope for the position. Use Epic and in‑basket tools to review, respond to, follow up on, and complete in‑basket work; review MyChart appointments for accuracy and follow up; process reschedule reports and No Show letters. Retrieve, scan, and distribute clinic forms and faxes via RightFax; open, sort, and distribute clinic mail; coordinate release of information requests; scan STAT EKGs. Maintain the patient care lobby: clean, disinfect, restock supplies, manage file cabinets, and handle other clinic resources. Schedule appointments, answer and transfer calls, handle messages and paging as needed. Perform weekly downtime checks and actively participate in staff meetings. Perform other duties as assigned. Required Qualifications Must be 18 years of age. Education and/or experience to meet required functional competencies as listed. 2–5 years of computer knowledge, including an electronic medical record and Microsoft Office (Word, Outlook). 2–5 years of customer service, clerical, or business environment experience in healthcare. Preferred Qualifications High school diploma or GED. Associate’s or vocational degree. 1 year of medical terminology knowledge. Physical Demands Sedentary with occasional lifting of up to 10 lbs. Negligible weight frequently. Pay Range $20.79 to $28.31 per hour (base hiring range; rate depends on experience, education, union agreement, and shift differentials).
