Full-Time Executive Assistant

Location: Beverly Hills, California

Salary: $120,000+ based on experience

Schedule: Monday-Friday, 9 AM-6 PM (role requires flexibility/responsiveness outside standard hours as needed. Availability and a strong sense of urgency are essential.)


We are seeking a highly polished, proactive, and discreet Executive Assistant to support a dynamic executive within a fast-paced, creative environment. This role requires a sophisticated professional who operates with precision, anticipates needs, and seamlessly manages both business and light personal responsibilities with the highest level of confidentiality.


Key Responsibilities

Executive Support & Calendar Management

• Provide strategic calendar management and calendar engineering, ensuring optimal time allocation and efficiency across a high-volume schedule
• Keep the executive on track throughout the day, managing transitions between meetings and ensuring punctuality
• Track key follow ups, action items, and priorities to maintain momentum and accountability

Operations, Stakeholder Coordination & Project Management

• Serve as a liaison between internal teams, external partners, and key stakeholders
• Support and manage projects, ensuring deadlines, communication, and execution remain aligned
• Act as a true right hand, stepping beyond traditional assistant duties into operational support

Office & Daily Operations Oversight

• Oversee daily office flow and routine elements including meals, pantry management, supplies, and general readiness
• Maintain an environment where no detail is overlooked and operations run seamlessly

Cultural & Team Engagement

• Partner with leadership and HR to coordinate employee engagement initiatives and internal events
• Contribute to fostering a positive, connected, and high-performing workplace culture

Creative Collaboration & Brand Insight

• Provide thoughtful perspective on marketing initiatives and brand positioning
• Offer insight from a customer lens, contributing to creative discussions within a fashion-focused, female-driven brand

Personal Support (Approx. 5%)

• Assist with light personal matters including travel coordination, scheduling, errands, gift purchasing, and liaising with household staff

Qualifications

• Minimum 5+ years of experience supporting high-level executives in fast-paced environments
• Exceptional organizational skills with strong attention to detail and follow through
• Highly discreet with a deep understanding of confidentiality and professionalism
• Proactive mindset with the ability to anticipate needs and solve problems independently
• Strong communication skills with the ability to manage relationships across all levels
• Experience within creative industries, luxury brands, or fashion environments preferred
• Ability to remain calm, responsive, and resourceful under pressure
