Operations Support Specialist

OPERATIONS SUPPORT SPECIALIST – SHIPPING & RECEIVING Location: Oneida, NY Employment Type: Full-Time Schedule: Monday–Friday, 7:00 a.m.–3:30 p.m. Hartman Enterprises, Inc. is seeking a dependable and detail-oriented Operations Support Specialist to support our shipping, receiving, inventory, and daily operational workflows. This position is responsible for the accurate and timely processing of inbound and outbound materials in a precision manufacturing environment. The ideal candidate is organized, reliable, able to manage multiple priorities, and comfortable identifying and resolving problems. Essential Duties and Responsibilities Receive incoming materials and verify packing slips, purchase orders, part numbers, quantities, and required certifications. Perform an initial inspection of incoming shipments for damage, discrepancies, missing documentation, or quality concerns. Document receiving issues and route materials to Quality Assurance when additional inspection or review is required. Process material receipts in the ERP system and accurately update purchase-order status and inventory quantities. Prepare outbound shipments, including packing, labeling, documentation, and carrier coordination. Verify that required paperwork and certifications are included with outgoing shipments. Maintain accurate inventory records, bin locations, and material-movement logs. Scan, organize, and file shipping and receiving records, job packets, packing slips, and certifications. Communicate with outside vendors regarding order status, lead times, shipment tracking, and delivery updates. Monitor outsourcing racks and staging areas for newly received materials and pending shipments. Support cycle counts and inventory audits as needed. Create and maintain Excel worksheets for inventory tracking, shipment logs, and daily operational reporting. Use Microsoft Word and Outlook for documentation and daily communication. Maintain a clean, safe, and organized shipping and receiving area. Identify discrepancies, workflow bottlenecks, and operational issues and work with the appropriate team members to resolve them promptly. Assist with other operational support duties as assigned. Qualifications Previous shipping, receiving, warehouse, inventory, or manufacturing experience is preferred. Ability to read and interpret purchase orders, job travelers, packing slips, part numbers, and material certifications. Experience with ERP or MRP systems is preferred but not required. Proficiency in Microsoft Excel, Word, and Outlook. Strong attention to detail, accuracy, organization, and recordkeeping skills. Ability to manage multiple responsibilities and meet daily deadlines in a fast-paced environment. Dependable, reliable, and committed to consistent attendance. Self-motivated with strong problem-solving and communication skills. Ability to work independently and collaboratively with Operations, Purchasing, Production, and Quality personnel. Forklift certification or willingness to obtain certification. Physical Requirements Ability to lift and move materials weighing up to 50 pounds. Ability to stand, walk, bend, reach, and perform material-handling duties throughout the workday. Ability to safely operate material-handling equipment after receiving appropriate training.
