IdeaTek is looking for a Sales Administrative Coordinator to support our VP of Sales and the broader sales team by managing processes, calendars, reporting, and documentation. This is a dynamic, detail-oriented role where consistency, follow-through, and a love for organization will set you apart. This role is ideal for someone who enjoys working with sales data, reporting tools, and performance metrics while supporting the sales team through strong coordination and operational execution. We're looking for someone who can juggle multiple moving parts, coordinate cross-functionally, and take initiative without needing to be asked twice.
A day in the life
In this role, you'll support the sales team by coordinating key administrative functions while also working closely with sales data and reporting. You'll start your day aligning on priorities and reviewing the VP's calendar, then jump into preparing for partner meetings, polishing presentations, or processing new customer orders.
A typical day may include updating CRM records, ensuring accuracy across quotes, contracts, and customer documentation, and coordinating with finance on billing. You'll also compile sales performance reports, assist with forecasting activities, and provide insights that support sales leadership decision-making. Whether you're resolving a quick issue or streamlining a reporting workflow, your work keeps the sales organization running efficiently and ready to grow.
What you'll do
Key responsibilities include:
- Support the VP of Sales through calendar management, meeting coordination, and administrative task ownership
- Translate complex data into clear visuals and insights for leadership presentations, proposals, and recurring sales summaries.
- Maintain sales order accuracy, documentation, and processing through online and phone systems
- Manage quotes, contracts, proposals, invoices, and other essential documentation
- Liaise with customer service, finance, and operations teams to ensure seamless order fulfillment
- Maintain and update CRM and customer databases for accuracy and integrity
- Compile, validate, and analyze large sets of sales and performance data to produce accurate, actionable reports that inform sales strategy and forecasting.
- Respond to client inquiries and track down missing order details
- Provide project coordination support for sales leadership initiatives, including meeting facilitation, note-taking, action item tracking, and on-going follow-up on key priorities
- Track inventory levels to keep sales informed of availability
- Look for opportunities to improve processes, streamline workflows, and reduce inefficiencies

To be considered for this role, you'll need the following required qualifications:
- Previous experience in administrative, executive assistant, or organizational support
- Experience supporting leaders or teams in a high-volume, fast-paced environment
- Strong attention to detail and ability to juggle multiple priorities
- Strong system skills with comfort navigating CRM platforms and shared tools
- Excellent written and verbal communication skills
