Associate IT Portfolio Manager

Job Overview

We are seeking a detail-oriented and collaborative Associate IT Portfolio Manager to support the alignment, governance, and execution of our enterprise IT project portfolio. In this role, you will work closely with IT leadership, Project Managers, Solution Architects, and Business Partners to track project health, manage portfolio intake, monitor budgets, and ensure IT investments align with strategic corporate objectives. You will help establish reporting standards, optimize resource allocation, and drive process efficiency across technical project lifecycles.

Key Responsibilities

Portfolio Governance & Intake Management

• Support the evaluation, scoring, and prioritization of new IT project requests through the enterprise intake and governance framework.
• Maintain the central IT portfolio repository, ensuring accurate data across all active, pipeline, and completed initiatives.
• Assist in defining and enforcing IT PMO (Project Management Office) standards, methodologies, and continuous improvement practices.

Reporting, Performance Tracking & Budgeting

• Consolidate project status data, key metrics, and financial performance into executive dashboards and portfolio health reports.
• Track portfolio spending, capital/operational expense allocations, and budget variances in partnership with IT Finance and Project Leads.
• Monitor project milestones, key risk indicators (KRIs), dependencies, and issue escalations across multi-disciplinary technical teams.

Resource Allocation & Cross-Functional Alignment

• Analyze resource capacity and utilization metrics to help leadership resolve resource bottlenecks and scheduling conflicts.
• Facilitate recurring portfolio review meetings with business stakeholders, product managers, and engineering leads.
• Document lessons learned and post-implementation reviews (PIRs) to refine portfolio planning and execution frameworks.

Required Skills & Qualifications

Technical & Portfolio Expertise

• Portfolio & Project Tools: Proficiency with PPM (Project Portfolio Management) platforms (e.g., ServiceNow PPM, Jira Align, Smartsheet, Planview, or Clarity).
• Data Visualization & Analytics: Strong skills in Excel (pivot tables, financial modeling) and BI dashboards (e.g., Power BI, Tableau, Looker) for portfolio reporting.
• Methodologies: Clear understanding of Agile (Scrum, Kanban, SAFe) and Waterfall project management frameworks within an IT environment.
• Financial Management: Familiarity with basic IT financial concepts, including CapEx vs. OpEx, ROI, and budget forecasting.

Soft Skills & Collaboration

• Exceptional organizational skills with strong attention to data accuracy and process management.
• Effective written and verbal communication skills, with the ability to summarize complex technical status updates for non-technical leadership.
• Strong interpersonal skills to navigate cross-functional stakeholder environments smoothly.

Preferred Qualifications

• Education: Bachelor’s degree in Information Technology, Business Administration, Computer Science, Management Information Systems (MIS), or a related field.
• Experience: 2–4 years of experience in IT project coordination, PMO analysis, junior project management, or IT business analysis.
• Certifications: Professional certifications such as CAPM (Certified Associate in Project Management), PMP, Agile/Scrum (CSM), or ITIL Foundation are a plus.
