Fexa is seeking a Head of AI Business Operations to lead and quarterback the company's AI Operations. This is a highly cross-functional, execution-oriented role responsible for identifying the highest-priority automation and AI opportunities across the business, building the programs and frameworks to bring them to life, and ensuring our people are equipped to work in an AI-first way.

This is not a purely strategic role. The Head of AI Business Operations will roll up their sleeves on select agent builds, working hands-on alongside contractors and functional teams to get initiatives across the finish line. The majority of building will be driven by those teams and external resources — but this person knows how to build, can credibly engage on technical decisions, and will personally move work forward when it matters.

Think of this role as the product manager of Fexa's internal AI operating system. The Head of AI Business Operations will serve as the company's internal expert on all things AI; partnering with functional leaders to scope use cases, coordinating delivery across teams, and ensuring the growing constellation of AI tools and agents weaves together into a coherent operating system. This role is focused on enabling Fexa's business functions: Finance, RevOps, Customer Success, Sales, Marketing, and People Ops.

This role reports directly to the CFO and works in close partnership with the CEO, Head of Engineering, and Head of People.

Key Responsibilities

• Partner with the CEO, CFO, and senior leadership to define and continuously refine Fexa's AI strategy, ensuring alignment with business priorities and financial objectives.
• Identify the highest-value automation and AI opportunities across all functions from revenue-generating workflows to operational cost reduction.
• Develop and maintain a clear framework for evaluating and prioritizing AI initiatives based on business impact, effort, and strategic fit.
• Lead the shortlisting and sequencing process: triage submissions from across the organization, score candidates on impact and feasibility, and build a prioritized roadmap reviewed by the AI Steering Committee.
• Define and track ROI metrics and KPIs for all AI initiatives; report progress and impact to the AI Steering Committee and contribute to board and investor reporting.
• Leverage dedicated budget for AI tooling, contractors, and enablement spend to resource initiatives appropriately ensuring investment tracks to highest-impact priorities.

• Coordinate and drive delivery of AI agents and automation initiatives — owning milestones, unblocking teams, and ensuring production-grade output. High-priority starting use cases include Customer Support automation, Finance close processes, and GTM pipeline generation.
• This role is expected to function as a hands-on builder on select projects with the expectation to build and configure the solution end-to-end from writing prompts, configuring orchestration workflows, connecting APIs, and iterating until the output is production-ready.
• Manage and direct external contractors and implementation partners on agent builds: scope work, brief builders, review outputs, and own delivery against milestones.
• Maintain deep enough technical fluency to evaluate contractor work critically, identify shortcuts or quality issues, and course-correct quickly. Own the agent tech stack: Claude, workflow orchestration tools, and API/MCP connectors into Fexa's core systems including Sage Intacct, Salesforce, Zendesk, HubSpot, Outreach, Ramp, MonetizeNow, Google Workspace, and Slack.
• Establish clear standards for how agents are evaluated, validated, and graduated to production, ensuring outputs are reliable and teams have confidence before any agent goes live.
• Own the agent maintenance lifecycle; monitoring, debugging, and iterating as systems and requirements evolve.

• Serve as Fexa's internal AI expert — the go-to resource for employees and teams seeking guidance on AI tools, use cases, and how to apply them in their work. Partners closely with the Head of People, who owns formal training programs.
• Identify, mentor, and activate a cohort of internal AI champions: high-potential employees in each function who can co-build agents and scale AI capability across the company. This is essential to throughput: one person cannot build everything, and developing these champions is how Fexa multiplies its AI output.
• Partner with People Ops to develop advanced agent-building playbooks and materials for the champion cohort, ensuring skills transfer and scale across the organization.

• Contribute to and help uphold Fexa's AI Usage Policy, including approved tool tiers, data classification rules, and the tool intake process. Serve as the primary technical voice on what tools are safe, appropriate, and fit for purpose.
• Own data governance as it relates to AI and automation: define and enforce what data can and cannot be passed to external AI APIs or used within agents, covering customer, financial, and employee information. As the primary builder and super-admin of the agent tech stack, this role is the de facto guardian of how Fexa's data interacts with AI.
• Evaluate and recommend new AI tools as the landscape evolves. Vet for business fit, security posture, cost, and compliance before any tool is approved for company-wide use.

Qualifications

Required

• Demonstrated hands-on experience building AI, automation, or agentic solutions that ship to production, not just scoped or advised on. Years of experience matter less than depth of AI fluency; we welcome candidates who are earlier in their careers but deeply AI-native."
• Proven ability to work consultatively across business and technical teams: you can scope a use case with a CS leader and review a workflow orchestration build with a contractor in the same day.
• Deep, practical fluency with generative AI and LLMs, including prompt engineering, agent design patterns, and API/MCP integration.
• Hands-on experience with workflow orchestration tools (n8n, Zapier, Make, or equivalent) and SaaS API integrations.
• Strong cross-functional program management: you can own a multi-workstream initiative, set milestones, hold contributors accountable, and report clearly to executives.
• Excellent written and verbal communication — exec one-pagers, hands-on workshops, and board-ready reporting all feel natural.
• Sound judgment on AI governance, data privacy, and responsible AI practices in a B2B environment.

Nice to Have

• Familiarity with any part of Fexa's stack: Sage Intacct, Salesforce, Zendesk, HubSpot, Outreach, Ramp, Google Workspace, Slack.
• Experience building or managing an internal AI champions or power-user network.
• Exposure to data architecture decisions: API connectors, vector databases, or lightweight data warehousing.
• Experience at a B2B SaaS company or PE-backed business where speed and financial discipline are both non-negotiable.
