Coordinate back-office workflows and ensure administrative processes and systems run accurately and efficiently. Oversee service/install payroll via ADP, including time tracking, overtime approvals, tax filings, and commissions. Handle basic HR tasks such as recruitment coordination, onboarding, training administration, performance tracking, and culture programs. Oversee billing and invoice/PO payment posting, project/job setup accuracy, and general project and account governance using NetSuite and other systems. Provide administrative and operational support for the field teams. Coordinate workplace safety governance, OSHA Standards alignment, and incident reporting. Assist with regulatory and licensing support, including GC/HVACR licensing and permits. Oversee fleet acquisition, maintenance, and fuel management. Manage internet, phone, security, internal asset tracking, and ensure supply chain continuity.Skills & experience we'd like you to have as an Operations Assistant:3+ years of administrative support experience within a construction company. Bachelor's degree in communication, business or related field preferred. Demonstrated success in operational organization, vendor coordination, payroll governance, and accurate record-keeping. Forward-thinking mindset with a passion for technology and process improvement. Experience with ERPs (NetSuite, Oracle, Salesforce, ServiceTitan), permitting, licensing, or safety documentation is a plus. Excellent communication skills, both written and verbal.
