Responsibilities Provide witness management assistance prior to, during, and after trial, including direct work with fact witnesses, and support to ensure appearance for court, pre-trial conferences, and grand jury Receive visitors, field phone calls, and handle inquiries from fact witnesses pertaining to court proceedings, pre-trial conferences, grand jury appearances and expense reimbursements; obtain information for files and documents necessary to arrange witness travel and reimbursements Initiate contact with fact witnesses regarding travel arrangements, appearance date/time, and any special circumstances or needs; determine when AUSA should be notified of special circumstances Confer with AUSA regarding fact witness appearance and special circumstances; complete and submit documentation for special authorizations and obtain prior approval before travel arrangements Before the fact witness appearance, ensure all travel documents and appearance details are provided; arrange travel and lodging per Department of Justice and USAO policies Meet with fact witnesses upon arrival, offer courtroom orientation, accompany to court, ensure a safe waiting area, and collect necessary documentation and signatures for reimbursement documents Prepare and submit documentation for fact witness reimbursement (e.g., vouchers) and gather information for pending and completed vouchers; reconcile Government Travel Accounts as required Obtain information and coordinate with the Court, Probation, Pretrial, U.S. Marshals Service, investigative agencies, and other counterparts as necessary Complete recurring documents in conformance with style and format rules; compose original letters with a working knowledge of legal procedures and terminology relevant to fact witness laws Perform general office procedures related to fact witness management, including maintaining files and databases, assembling documents, tracking hearings, trial dates, grand jury, and scheduling conferences Qualifications Good communication skills Word processing and data entry/retrieval Ability to review and analyze data from multiple sources Ability to establish case/project files and manage data in databases Ability to prepare and format management reports and correspondence Ability to schedule appointments and respond to inquiries regarding case-related information and status Ability to obtain information from other agencies/organizations; maintain accurate status information on designated files and assets Analytical computation and data processing abilities Provide administrative information and assistance concerning cases to other agencies or organizations High school diploma required; undergraduate degree preferred Benefits Health, Dental, and Vision Life Insurance 401k Flexible Spending Account (Health, Dependent Care, and Commuter) Paid Time Off and observed holidays Equal Opportunity Employer.
