Purchasing Coordinator Location: New Orleans, LA, US. Job Description The Purchasing Coordinator will be responsible for managing the high‑level materials management plan and related processes. The person in this position, along with the Director of Facilities & Purchasing, will be the point of contact for vendors and internal requests for the organization by performing the following duties. Responsibilities Creates purchase orders from requisitions. Purchases medical supplies, related products, furniture, fixtures and equipment for the organization. Confers with vendors to obtain product or service information such as pricing, availability and delivery schedule. Obtains price quotes from multiple suppliers and negotiates competitive prices. Prepares purchase orders, forwards them and files to the accounts payable department. Data entry and filing of paperwork. Issues purchase orders to suppliers and confirms delivery date, quantity and correct pricing. Monitors transportation of inbound and outbound shipments. Verifies received purchases through manifests, packing slips and requisitions, resolves shipment issues and prepares shipments for distribution to other locations. Expedites delivery of goods to users. Facilitates monthly purchasing reporting, planning and forecasting meetings with all Area Practice Managers, CFO, COO. Maintains procurement records such as items or services purchased, costs, delivery, product quality or performance, and inventories. Processes receipts and packing slips to assist accounts payable in reconciling invoices for payment. Assists with securing inventory usage data to support year‑end inventory. Discusses defective or unacceptable goods or services with inspection or quality control personnel, users, vendors and others to determine source of trouble and take corrective action. Develops and strengthens relationships with new, existing and potential vendors. Contacts manufacturing representatives on equipment, pricing and delivery of products. Reviews products for purchase by evaluating current inventory. Performs product analysis to determine usability and demand through historical inventory purchases and purchasing data to prevent wastefulness. Communicates product information to facility personnel. Maintains organization of warehouse inventory. Manages shipments to warehouse and ensures shipments are received and delivered to appropriate destinations in a timely manner. Physical Demands Lifting, twisting, standing, bending and walking. Approximately 40% of work will require some sort of physical activity. May be required to travel to other facilities to assist with physical inventory. Work Environment The environment for this role is primarily a warehouse. The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines, as well as some warehouse equipment. Work is normally performed indoors, but work areas have varying temperatures. The role requires a lot of physical activity, including lifting large, heavy boxes, opening filing cabinets and bending or standing as necessary. Minimum Qualifications Strong communication and interpersonal skills. Ability to handle multiple tasks while paying attention to detail. Relationship management skills. Preferred Qualifications Associate’s degree or 5-10 years of equivalent experience. Proficient in Excel. Experience with multi‑site purchasing. Customer service skills. Experience in a healthcare setting. Organizational skills. Written and verbal communication skills. Ability to work independently and make intelligent decisions based on information provided. Desire to work in a holistic health care environment serving the under‑insured and uninsured.
