Manage and oversee daily operations of the program(s). Liaise with learners, faculty, staff, and the ACGME. Collaborate with the Program Director to design, implement, and manage administrative/academic operations. Oversee educational activities (didactic schedule, Grand Rounds, etc.) that support the curriculum and meet ACGME requirements. Provide guidance to residents/fellows on policies, GME procedures, and non‑clinical matters. Create, review, and maintain policies and procedures in accordance with university and accrediting agency standards. Interpret policies for faculty, staff, residents, and fellows. Advise and consult on inquiries from residents/fellows, faculty, staff, and department chairs. Manage confidential and critical materials, issues, and communications. Act as liaison between the Program Director and internal/external offices and individuals. Manage the Residency Management System (RMS): maintain demographics, schedules, import goals, track attendance, and ensure timely work‑hour reports. Develop initiatives to address program weaknesses in coordination with the Program Evaluation Committee and leadership team. Analyze data and trends regarding accreditation and program management to implement quality improvement initiatives. Design program evaluations with the Clinical Competency Committee to measure resident/fellow performance, faculty performance, educational content, and overall program. Manage the evaluation process in the RMS and ensure timely completion by evaluators. Coordinate accreditation activities, including preparation of ACGME site visits, self‑study, and other documentation. Assist in preparing program, faculty, and residents/fellows for site visits and serve as key participant. Schedule program internal reviews, prepare documents, and participate in review meetings. Develop and oversee the recruitment and selection process for incoming trainees, maintaining compliance with GME Office policies. Maintain program letters of agreement and ensure revisions meet ACGME and SVH GME requirements. Track, document, report, and analyze data/trends on educational activities to meet board certification, accreditation, and GME policy requirements. Maintain working relationships with the Office of GME for compliance with resident/fellow requirements. Coordinate, organize, and schedule GME program events: recruitment, orientation, graduation, retreats, conferences, and meetings. Prepare and distribute materials for conferences and lectures. Read literature and attend conferences to stay abreast of accreditation trends and developments. Represent the program at local, state, and national meetings and conferences. Collaborate with colleagues within and outside the university and become active in related national organizations (e.g., TAGME). Provide guidance and mentorship to other GME Program Coordinators and Directors. Assist in planning and delivery of institution‑level Program Coordinator development activities. Perform any additional duties as assigned. Knowledge, Skills & Abilities Leadership and personnel management skills. Strong organizational skills. Excellent oral and written communication skills. Experience with Microsoft Office. Ability to set priorities and meet strict deadlines. Independent decision‑making on complex matters and ability to escalate issues. Ability to establish and maintain cooperative working relationships. Knowledge of ACGME and NRMP policies and procedures. Understanding of hospital regulatory environment. Initiative and ability to adapt quickly to changing requirements. Diplomacy, compassion, sensitivity, and commitment to professional conduct. Handling sensitive information with absolute confidentiality. Qualifications Bachelor’s degree in business, education, administration or related field (preferred). In lieu of a bachelor’s degree, provide proof of prior GME experience (minimum 2–4 years). Minimum five years of graduate medical education experience. Experience with hospital administrative duties preferred. Proficient in Adobe Acrobat Pro, MS Excel, Word, PowerPoint, Outlook, ERAS, ADS, and NRMP (required). New Innovations Super User required; experience with IRIS Reporting preferred. Demonstrated ability to train others, communicate effectively, and work with high‑volume data.
