Muir Wood Teen Treatment provides residential and outpatient care for adolescents ages 12–17 across nine campuses in California. Our programs are relationship-centered, trauma-informed, and built around small, home-like campuses in nature-rich settings. Our Sonoma County residential campuses serve teens with co-occurring mental health and substance use needs, with academic continuity and family involvement built into the treatment model.

About the Role

The Assistant Clinical Operations Manager (ACOM) is the day-to-day operational leader of a residential campus and a working floor leader for the team. It is a deliberately two-sided role. Three days a week you run the program: staffing, scheduling, onboarding, purchasing, outings, environment of care, and the coaching and accountability that keep a campus steady. Two days a week you are on the floor as a Lead Shift Supervisor, embedded in the ratio, leading the shift, and coaching in the moment.

This role reports to the Clinical Operations Manager and works in close partnership with the Clinical Director and Central Operations. This role will manage all floor staff and per diems (expected 20-30) for their assigned program. It is designed as a development role — a structured step between Shift Supervisor and Clinical Operations Manager, with direct mentorship and a clear path into the COM role.

How the Week Works

You will work five days per week on a set schedule, with one weekend day. The two ACOMs at our Sonoma campuses work offset schedules — one Sunday through Thursday, one Tuesday through Saturday — so that a member of the campus leadership team is present on weekends.

Schedule: Full-time, five days per week, 11:00 a.m. – 7:00 p.m. on office days; one weekend day required. Two days per week are worked as scheduled floor shifts (AM, Swing, or NOC). On-floor days rotate intentionally across shifts and days of the week so that you build relationships with the full team, see the program at every hour, and can step into coverage gaps when the program needs you. You and your ACOM counterpart will coordinate schedules together and plan coverage for planned time off with the COM.

Responsibilities 

Run the Day-to-Day Operation (Off-Floor Days)

• Own campus staffing and scheduling — build and maintain schedules that meet census, acuity, and ratio requirements, and manage coverage in real time.
• Respond to call-outs and coverage gaps, including stepping onto the floor yourself when that is the right answer.
• Hold Care Coordinators and Shift Supervisors accountable for schedule integrity, attendance, timekeeping accuracy, and timely documentation.
• Manage the purchase order process, supply and equipment ordering, and program spending within budget.
• Coordinate outings and weekend adventures end to end — planning, staffing, transportation, and follow-through.
• Oversee onboarding for new program staff so they are ready on day one: workspace setup, logins and system access, badges, keys, electronics, and program-specific training.
• Maintain accurate inventories and controls for keys, electronics, vehicles, and system access.
• Support environment-of-care readiness — daily and weekly walkthroughs, work order follow-up, and licensing and accreditation readiness in partnership with the COM and Compliance.
• Keep operational systems current and consistently used, including scheduling, expense, work order, and compliance tracking tools.

Lead the Shift (On-Floor Days)

• Function as the Lead Shift Supervisor for the shift — actively managing the floor minute to minute rather than working from the office.
• Stage the shift: position staff against risk and census, adjust containment and house assignments as conditions change, and plan proactively for high-risk clients before events develop.
• Lead crisis response independently and competently, directing staff and clients through established protocols and adjusting program structure to maintain safety.
• Lead de-escalation and know when direct intervention is appropriate, when to move peers out of the area, and when to escalate to nursing, clinical, or emergency services.
• Lead intakes, client orientation, and discharges, engaging families warmly and professionally during high-stress moments.
• Support medication pass in coordination with Nursing, and ensure coverage is directed appropriately when a nurse is not on site.
• Oversee shift notes and documentation quality — set expectations at the start of the shift, monitor progress, and review before publishing.
• Provide in-the-moment coaching on client interactions, supervision staging, and documentation, and carry what you observe back into training and development plans.

Lead and Develop the Team (over 50% of their time)

• Directly supervise Care Coordinators and Shift Supervisors, and uphold the chain of command so Shift Supervisors own their shifts.
• Coach leaders to manage the milieu, staff their shifts well, hold their teams accountable, and deliver consistent feedback.
• Address performance concerns promptly and professionally, partnering with the COM and HR on corrective action, development plans, and documentation.
• Support recruiting and retention — interviewing, onboarding, first-90-day check-ins, recognition, and follow-through on the things that make people stay.
• Model the leadership stance we ask of every floor leader: safety, structure, and support, in that order; healthy authority; and a willingness to lead the repair when a relationship ruptures.
• Provide direct supervision to approximately 20–30 frontline staff members, ensuring consistent leadership, accountability, communication, and support. 

Partner Across the Program

• Serve as an operational partner to the Clinical Director, translating clinical direction into clear expectations for the floor team.
• Participate in flash meetings, Care Coordinator and Shift Supervisor meetings, and Treatment Team as directed.
• Carry concerns from the floor up to clinical and operations leadership, and carry direction from leadership back to staff clearly and consistently.
• Coordinate with your ACOM counterpart at the partner campus on scheduling, coverage, and shared operational work.

  Required

• Two or more years of experience in adolescent or behavioral health residential treatment, including at least one year in a shift lead, supervisory, or comparable leadership role.
• Demonstrated competence leading crisis response and de-escalation independently.
• Strong working knowledge of milieu management, trauma-informed care, and supervision of adolescents in a residential setting.
• Proven organizational skill — you can hold a schedule, an onboarding checklist, and a shift in your head at the same time and not drop any of them.
• Clear, direct written and verbal communication.
• Availability to work the posted schedule, including one weekend day, rotating floor shifts across AM, Swing, and NOC, and occasional last-minute coverage.
• Valid California driver’s license, insurable driving record, and willingness to transport clients.
• Ability to meet all licensing requirements for program staff, including background clearance, health screening, TB clearance, CPR/First Aid, and crisis intervention certification (provided if not already held).

Preferred

• Bachelor’s degree, or equivalent leadership experience in a licensed treatment setting.
• Familiarity with Title 22, DHCS, and Joint Commission expectations.
• Experience with staff scheduling, onboarding, purchasing, or environment-of-care systems.
• Experience coaching or training frontline staff.

• New staff arrive ready and supported, and stay.
• Shift Supervisors are growing, owning their shifts, and being held to a clear standard.
• Clinical direction shows up consistently in daily practice on the floor.
• The environment is safe, clean, therapeutic, and audit-ready.
• Weekends and escalations are covered by present, capable leadership.
