The Clergy & Congregational Support Coordinator provides essential administrative, scheduling, communications, and logistical support for clergy and congregational operations at Congregation Har HaShem. This position is often the first point of contact for congregants and visitors and plays a vital role in creating a welcoming, supportive, and responsive experience for all who engage with the synagogue.
The Coordinator supports members with a variety of administrative needs, including completing forms, processing payments, answering financial and membership-related questions, and connecting congregants with appropriate resources. The ideal candidate demonstrates patience, empathy, and a genuine commitment to helping congregants navigate administrative processes with warmth, respect, and care.
This role ensures the smooth day-to-day functioning of clergy schedules, worship preparation, lifecycle communications, and congregational engagement systems. Success in this position requires strong organizational skills, emotional intelligence, professionalism, confidentiality, and the ability to manage multiple priorities in a dynamic congregational environment. Most importantly, this role requires a genuine enjoyment of helping people and the ability to make every congregant feel welcomed, heard, and supported.

Key Responsibilities 1. Clergy Scheduling & Administrative Support- Maintain clergy calendars and schedule appointments.
- Coordinate conversion meetings, pastoral sessions, and congregant appointments.
- Manage scheduling requests and resolve conflicts as they arise.
- Coordinate scheduling across multiple calendars when needed.
- Provide general administrative support to clergy.
- Coordinate Torah chanting schedules and communications with participants.
- Send recurring communications to Torah chanters, including bi-monthly updates.
- Distribute Torah scroll scans and weekly Shabbat materials.
- Prepare service materials, song sheets, and Yahrzeit and Yizkor lists for Shabbat and holidays.
- Assist with logistics for lifecycle events, ritual observances, and clergy-led programs.
- Draft and send standard clergy communications, including:
- Yahrzeit notifications
- Thank-you notes
- Lifecycle acknowledgments
- Manage clergy team tasks within Pastoral Reach.
- Support communication workflows that encourage congregational participation and engagement.
- Maintain accurate congregational records and contact information.
- Serve as a welcoming first point of contact for congregants and visitors.
- Answer the main phone line, congregational email, and front door with warmth, professionalism, patience, and responsiveness, reflecting the congregation's commitment to belonging and hospitality.
- Route requests to the appropriate staff member or clergy person.
- Provide timely, professional, compassionate, and patient support to congregants and guests, recognizing that individuals may be seeking assistance during moments of celebration, transition, concern, or loss.
- Assist congregants with forms, payments, account questions, and other administrative needs in a helpful and service-oriented manner.
- Assist with financial data entry and basic reporting tasks.
- Contact members regarding billing arrangements and overdue balances.
- Send monthly statements to congregants.
- Support database updates related to membership and financial tracking.
- Support the Executive Director and Director of Development with data entry, analysis and running financial reports.
- Provide general administrative assistance to support organizational operations.
- Use and maintain congregational systems, including ShulCloud, Google Workspace, scheduling tools, Pastoral Reach, Smartsheet, Verkada, and other platforms.
- Support basic reporting and data entry across systems.
- Assist with office operations and basic administrative troubleshooting.
- Manage office supply inventory and coordinate ordering as needed.
- Maintain and create member name tags.
- Assist with setup documentation and logistics for Shabbat services, holidays, adult education programs, and congregational events.
- Coordinate food orders, room setup, and basic technology preparation for meetings and events.
- Prepare materials and ensure readiness for services and programs.
- Coordinate administrative setup tasks and event logistics.
- Assist with event setup and breakdown, including moving supplies, furniture, and technology as needed.
- 2–3 years of administrative, office management, customer service, or coordination experience.
- Strong organizational and communication skills.
- Ability to manage multiple priorities with accuracy and attention to detail.
- Demonstrated ability to provide patient, compassionate, and solution-oriented customer service.
- Ability to maintain confidentiality and exercise discretion when handling sensitive congregational, financial, and pastoral information.
- Proficiency with common office software and technology platforms.
- A commitment to creating a welcoming and supportive experience for congregants, visitors, and colleagues.
- Familiarity with Jewish lifecycle events and synagogue life.
- Experience with database or CRM systems (ShulCloud preferred).
- Comfort working in a values-driven religious community.
- Basic understanding of Jewish holidays and rituals, or willingness to learn.

Salary: $50,000–$60,000 annually, depending on experience.
Position Type: Full-time, in-person.
Schedule: Monday–Thursday, 9:00 a.m.–5:00 p.m.; Friday, 9:00 a.m.–3:00 p.m. Occasional evening, weekend, and holiday hours may be required to support major congregational programs and events.
