Physical Therapy Consultants, Inc. (PTC) is a privately owned outpatient physical therapy practice dedicated to helping individuals regain independence after injury, surgery, or chronic disease so they can live their best lives. With five clinic locations and a team of approximately 30 treating providers, we are committed to delivering exceptional patient care while maintaining strong relationships within the communities we serve.

We are seeking an experienced, motivated, and results-oriented Director of Operations / Practice Administrator to oversee the daily operations, financial performance, staffing, and growth initiatives of our organization.

This is a key leadership position that works directly with ownership to ensure operational excellence, employee engagement, and long-term organizational success.

Position Summary

The Director of Operations is responsible for overseeing all non-clinical and operational functions of the practice. This individual will provide leadership in human resources, financial oversight, marketing, policy development, compliance, and performance management while supporting a culture of accountability, service, and continuous improvement.

Essential Responsibilities

Operations Management

  • Oversee day-to-day operations across five outpatient physical therapy clinics.
  • Develop, monitor, and improve operational systems and workflows.
  • Analyze key performance indicators and provide actionable recommendations.
  • Ensure consistency in patient experience and clinic performance.
  • Lead operational improvement initiatives.

Staffing & Human Resources

  • Recruit, interview, hire, and onboard Physical Therapists, PTAs, Athletic Trainers, and Front Desk Specialists.
  • Conduct employee performance evaluations.
  • Develop retention and employee engagement strategies.
  • Coordinate training and professional development programs.
  • Address employee relations issues and performance concerns.

Financial Oversight

  • Manage accounts payable processes.
  • Review accounts receivable performance and collection trends.
  • Collaborate with contracted billing partners to ensure revenue cycle effectiveness.
  • Monitor productivity, profitability, and financial performance metrics.
  • Assist with budgeting, forecasting, and strategic planning.

Marketing & Business Development

  • Oversee referral development and community outreach activities.
  • Monitor marketing initiatives and return on investment.
  • Support physician, employer, attorney, and community relationships.
  • Identify opportunities for growth and service expansion.

Compliance & Administration

  • Maintain and update organizational policies and procedures.
  • Ensure compliance with HIPAA, OSHA, labor regulations, and payer requirements.
  • Coordinate credentialing and regulatory compliance activities.
  • Manage vendor and service provider relationships.

Qualifications

Required

  • Bachelor's degree in Business Administration, Healthcare Administration, Management, Human Resources, Finance, or related field.
  • Minimum 5 years of management experience.
  • Strong leadership, organizational, and communication skills.
  • Experience managing multiple departments or locations.
  • Financial management and budgeting experience.
  • Proficiency with business software, spreadsheets, and reporting tools.

Preferred

  • Healthcare operations experience.
  • Experience managing outpatient rehabilitation, physical therapy, medical, chiropractic, or healthcare organizations.
  • Knowledge of healthcare billing, reimbursement, and revenue cycle management.
  • Master's degree in Healthcare Administration (MHA), MBA, or related field.
