Role Summary

The Onsite Maintenance Supervisor serves as a hands-on leader responsible for scheduling, training, and overseeing the maintenance team while ensuring accurate reporting and the timely completion of work orders and property projects. This position inspects and maintains common areas, performs routine repairs and custodial work, manages supplies and cleaning services, and responds promptly to maintenance emergencies to ensure the property remains safe, clean, and well maintained.

Responsibilities

• Directly supervise the maintenance team, including assigning work, setting expectations, monitoring performance, and providing coaching and corrective feedback.
• Develop and manage technician schedules to ensure appropriate coverage for routine operations, projects, emergencies, and after-hours needs.
• Lead the onboarding, training, and ongoing development of maintenance team members.
• Conduct performance evaluations and address employee performance, attendance, conduct, and development needs in coordination with management and Human Resources.
• Ensure work orders, inspection records, preventive maintenance schedules, inventory records, timekeeping, and required reports are accurate and completed on time.
• Establish daily and long-term maintenance priorities in coordination with the Community Association Manager or Maintenance Manager.
• Regularly inspect the property to identify maintenance needs, safety concerns, and opportunities for improvement; promptly report significant deficiencies and recommend corrective action.
• Plan, coordinate, and oversee preventive, corrective, and emergency maintenance for common elements throughout building interiors and exteriors.
• Manage complex maintenance projects in coordination with the Community Association Manager or Maintenance Manager, including developing scopes of work, scheduling resources, monitoring progress, and communicating project status.
• Coordinate with vendors and contractors, oversee work performed onsite, verify service quality, and report contract or performance concerns to management.
• Schedule required inspections with municipal authorities and other agencies and maintain related documentation.
• Ensure common-area amenitiesincluding conference rooms, billiards rooms, laundry rooms, pool areas, and other shared spacesare clean, functional, and properly maintained.
• Oversee contracted cleaning services, conduct quality inspections, address deficiencies, and ensure custodial needs are completed.
• Manage maintenance and janitorial inventory, including forecasting needs, ordering approved supplies, receiving deliveries, maintaining organized storage, and controlling costs.
• Ensure technicians have the tools, materials, supplies, and information necessary to complete work orders safely and on time.
• Perform or assist with electrical, plumbing, carpentry, drywall, painting, mechanical, and general building repairs when operational needs require hands-on support.
• Ensure trash is removed, dumpsters are positioned for collection, and common-element rock areas, flowerbeds, and grounds are kept free of weeds, trash, and animal waste.
• Lead the maintenance response to emergencies during scheduled working hours.
• Participate in the after-hours emergency response rotation and coordinate team and vendor resources as needed to resolve urgent issues.
• Develop, implement, and monitor preventive maintenance procedures and schedules for building systems, equipment, amenities, and common elements.
• Enforce safety procedures, conduct routine safety meetings, ensure proper use of personal protective equipment, and promptly document and report incidents and hazards.
• Monitor compliance with applicable codes, regulations, manufacturer requirements, company policies, and community standards.
• Report observed covenant violations or community-standard concerns to the Community Association Manager for enforcement and assist with monitoring corrective conditions as directed.
• Maintain professional communication with homeowners, residents, board members, vendors, contractors, and internal team members.
• Perform other work-related duties as assigned.

Qualifications

Knowledge, Skills, Abilities, and other Qualifications

• Minimum of five years of progressively responsible experience in building or facilities maintenance, including experience directing or supervising maintenance employees.
• Thorough working knowledge of general electrical repair, plumbing, HVAC troubleshooting, building controls, carpentry, drywall, painting, mechanical systems, and preventive maintenance.
• Knowledge of facilities maintenance and repair practices within homeowners associations, condominium associations, apartments, or multifamily communities.
• Knowledge of workplace safety requirements, safe work practices, personal protective equipment, and proper use of maintenance tools and equipment.
• Ability to supervise, motivate, train, coach, and evaluate employees.
• Ability to plan staffing coverage, assign work, establish priorities, and manage multiple projects and deadlines.
• Ability to develop maintenance schedules, track performance metrics, maintain accurate records, and prepare required reports.
• Ability to troubleshoot building-system issues, assess risk, make sound decisions, and escalate significant concerns appropriately.
• Ability to develop scopes of work, coordinate vendors and contractors, and evaluate the quality and completion of contracted services.
• Ability to schedule and support municipal, regulatory, and property inspections.
• Working knowledge of inventory management, purchasing controls, and responsible use of maintenance resources.
• Strong leadership, organization, attention to detail, problem-solving, and decision-making skills.
• Strong verbal and written communication skills.
• Ability to work independently with limited supervision while maintaining accountability to the Community Association Manager or Maintenance Manager.
