Insurance Licensing Associate

Leading tech company is seeking a Licensing Associate to own the end-to-end insurance licensing function for the organization's two licensed insurance entities — every agency entity license and every individual producer license, across all 50 states and the District of Columbia, and across all lines the firm transacts (property & casualty, life & health, and related authorities).

This is a hands-on, individual-contributor role. You are the firm's single point of accountability for keeping the insurance brokerage and its producers properly licensed and appointed at all times — new applications, non-resident expansions, renewals, appointments and terminations, continuing education compliance, carrier and state audits, and the systems and records that support all of it. Nothing gets sold that isn't properly licensed, and you are the reason that stays true.

Pay: $50 - $75 / hour ($100,000 - $150,000 annualized)

Key Responsibilities

Agency (Entity) Licensing

• Obtain and maintain resident and non-resident agency/business-entity licenses in all 50 states and D.C., across all applicable lines of authority
• Manage designated responsible licensed producer (DRLP) assignments per state, including tracking qualification requirements and executing changes when personnel change
• Handle assumed name / DBA registrations and approvals with state departments of insurance; coordinate corporate qualifications, foreign-entity registrations, and registered agent relationships with Legal and outside vendors
• File entity-level amendments — name changes, address changes, ownership changes, mergers and acquisitions — within statutory windows
• Track and complete all entity license renewals ahead of expiration, including fees, affidavits, and state-specific attestations

Individual Producer Licensing

• Own the producer licensing lifecycle from pre-hire through termination: pre-licensing education, exam scheduling, fingerprinting/background checks, resident applications, and non-resident expansions
• Serve as the day-to-day resource for producers on licensing questions, application status, and state-specific requirements
• Monitor CE compliance across the producer roster, including state- and line-specific requirements, ethics hours, and mandated coursework; escalate at-risk producers before deadlines lapse
• Administer license renewals across varied state cycles and reinstatement windows
• Review background disclosure questions, prior administrative actions, and 1033 consent situations; partner with Compliance and Legal on state inquiries
• Process license terminations and required state notifications upon producer departure

Carrier Appointments

• Manage carrier appointments and terminations for entities and producers, including just-in-time appointment states
• Complete carrier onboarding/contracting packets, respond to carrier requests, and reconcile carrier-reported data against internal records
• Track appointment fees and renewal cycles; forecast and manage the annual licensing budget

Compliance, Records & Reporting

• Maintain an audit-ready system of record for all licenses, appointments, CE credits, and supporting documentation
• Monitor regulatory and legislative changes; assess impact and implement process updates
• Serve as primary contact for state DOI inquiries, market conduct exams, and carrier audits
• Provide regular reporting to leadership on licensing status, expirations, gaps, and risks
• Support new state/product expansion by identifying requirements and sequencing work to meet launch dates

Process & Systems

• Administer the firm's licensing platform (e.g., AgentSync, Vertafore Sircon/PLM, NIPR Gateway) and drive automation adoption
• Build and document SOPs, checklists, and calendars for every recurring licensing obligation
• Partner with HR, Recruiting, Business leadership, Payroll, and Legal to align licensing timelines with hiring and revenue plans

Required Qualifications

• 3+ years of insurance licensing experience in a brokerage, agency, carrier, MGA, or insurtech environment
• Demonstrated experience with both entity/agency and individual producer xhyhwjd licensing — not producer licensing alone
• Multi-state experience, ideally near a 50-state footprint, across multiple lines of authority
• Working proficiency with NIPR, Sircon, and state DOI portals
• Strong knowledge of producer licensing regulations, appointment rules, and CE requirements by state
• Exceptional organization and attention to detail; proven system for managing hundreds of concurrent deadlines
• Clear, professional written and verbal communication with producers, carriers, and regulators
• Advanced Excel skills; comfort working with license and appointment data at volume
• Ability to work independently and own outcomes without day-to-day direction

Preferred Qualifications

• Experience supporting licensing through M&A activity or rapid producer-headcount growth
• Bachelor's degree, or equivalent experience
• Industry designation such as AINS, CPCU, or similar (nice to have)

Success in the First Year

• 90 days: Full inventory of every entity license, producer license, and carrier appointment is verified and reconciled; no unknown gaps remain
• 6 months: Renewal, CE, and appointment calendars are documented and running proactively; SOPs exist for every recurring obligation
• 12 months: Zero lapsed licenses or appointments; new-hire producers are production-ready on target timelines; the firm can enter a new state on a predictable schedule
