Human Resources SpecialistThe Human Resources Specialist provides day-to-day administrative and operational support for Human Resources, ensuring a seamless experience from pre-employment through onboarding. This role is responsible for coordinating onboarding activities for both corporate employees and insurance sales agents, maintaining HR records, supporting HR processes, and serving as a key resource for employees and leaders. The ideal candidate is highly organized, customer-service oriented, and able to manage multiple priorities in a fast-paced environment.Core ResponsibilitiesOnboarding & New Hire ExperienceCoordinate the end-to-end onboarding process for corporate employees and insurance sales agents.Prepare and distribute onboarding materials and new hire communications.Coordinate, facilitate, and host weekly new hire onboarding sessions for corporate employees, ensuring a seamless onboarding experience, completion of required onboarding activities, and a successful transition into the organization.Facilitate pre-employment requirements, including I-9 verification, employment eligibility, and other required documentation.Ensure all onboarding documentation is completed accurately and within required timelines.Partner with hiring managers and cross-functional departments to ensure smooth onboarding experience.Track onboarding milestones and resolve issues promptly.Insurance Sales Agent AdministrationCoordinate administrative onboarding activities specific to insurance sales agents.Monitor completion of all pre-contract requirements.Maintain agent records and ensure required documentation is complete and up to date.Serve as a liaison between HR, Sales Leadership, Licensing, Compliance, and other internal stakeholders to facilitate the onboarding process.Support agent transfers, status changes, and offboarding activities.HR AdministrationMaintain employee personnel files and HRIS records, ensuring data accuracy and confidentiality.Monitor Human Resources inbox and disperse to the appropriate HR teams when necessary.Process employee transactions including hires, transfers, promotions, organizational changes, and terminations.Prepare HR correspondence, employment verification letters, and other employee documentation.Maintain HR forms, templates, and standard operating procedures.Assist with reporting, audits, and record retention activities.Support employee recognition, service awards, and other HR programs.Employee SupportServe as the first point of contact for routine HR questions regarding policies, onboarding, and HR processes.Provide exceptional customer service while maintaining confidentiality.Support managers with administrative HR needs and documentation.Process ImprovementIdentify opportunities to improve HR administrative processes and enhance employee experience.Track Assist with the development and documentation of HR procedures and workflows.Participate in HR projects and continuous improvement initiatives.Skills Qualifications Required:Strong organizational and time management skills.Excellent verbal and written communication skills.High attention to detail and accuracy.Ability to manage multiple priorities and meet deadlines.Strong customer service orientation.Ability to handle confidential information with professionalism and discretion.Working knowledge of employment laws and HR best practices.Proficiency in Microsoft Office, including Excel, Word, Outlook, and HR information systems.Preferred:Professional HR certification (SHRM-CP) preferred.Experience with onboarding processes.Experience with SAP SuccessFactors HRIS, applicant tracking systems, and electronic document management.Education Required:Bachelor's degree in human resources, Business Administration or a related field.3–6 years of progressive Human Resources experience.Experience coordinating onboarding or HR administration required.Experience working with HRIS systems and Microsoft Office Suite.Physical DemandsMust be able to remain in a stationary position for a majority of the workday.
