Rental Project Coordination Manager

Job Title Rental Project Coordinator Manager FLSA Status Exempt Department Operations Reports to Director of Operations Job Summary The Rental Project Coordination Manager leads the Rental Project Coordinator (RPC) function across all branches and is accountable for consistent, accurate, and timely execution of rental project coordination activities. This role manages the administrative engine that supports rental execution, including scheduling, documentation, billing coordination, compliance, and workflow consistency. The position ensures projects move smoothly from order initiation through closeout while maintaining a high standard of accuracy, accountability, and customer experience. $80,000 – $90,000 DOE
Essential Functions Lead, coach, develop, and manage Rental Project Coordinators across branches and regions, including performance management, workload balancing, coverage planning, and accountability. Oversee the full lifecycle of rental project coordination activities, including order setup, scheduling, relocations, pickups, off‑rents, closeouts, customer communication, and documentation management. Develop, implement, and enforce standardized RPC workflows to improve consistency, compliance, accuracy, customer experience, and execution quality across all branches. Ensure compliance with contract requirements, documentation standards, billing procedures, job costing, purchase order management, and applicable public works or prevailing wage requirements. Monitor RPC productivity, project accuracy, completion timelines, compliance metrics, error trends, and escalation patterns; implement corrective actions and process improvements as needed. Analyze workflow data to identify recurring issues, training needs, process gaps, and opportunities for operational improvement. Partner with Sales, Operations, Accounting, and IT/System teams to ensure alignment, resolve operational challenges, improve workflows, and support system enhancements. Establish escalation protocols and resolve complex coordination issues impacting service, project execution, customer satisfaction, or operational performance. Required Qualifications Education: High school diploma; equivalent experience may be considered. Experience: 5–8 years of experience in project coordination, operations support, administrative leadership, or related operational roles. Minimum 2 years of leadership experience, including coaching, performance management, and team development. Experience managing workflows, scheduling, documentation, and operational processes in a fast‑paced environment. Experience working cross‑functionally with Sales, Operations, Accounting, and Information Technology teams. Experience supporting process improvement initiatives, system enhancements, workflow redesign, or operational standardization efforts preferred. Experience managing operational budgets, cost tracking, variance analysis, and financial performance reviews. Valid driver’s license required. Excellent organizational and communication skills; proficiency with Microsoft Office Suite; strong customer service orientation with the ability to solve problems efficiently. Preferred Qualifications Experience with mobile and modular industry; field service, leasing, or rental operations systems. Experience leading process standardization or system implementations. Knowledge of prevailing wage compliance; LPC tracker, WA L&I and Davis Bacon. Working Conditions / Physical Requirements Primarily office‑based with extended periods of sitting and computer use. Regular travel to branch locations and planning meetings required.
