Office Assistant 2 (NY HELPS)

Responsibilities Reviewing, verifying, and processing basic financial documents, including vendor invoices, statements, and procurement card transactions. Utilizing the Statewide Financial System (SFS) and internal databases to enter transaction data, log receipts, and track local expenditures. Serving as credit card reconciler for regional cardholders ensuring all invoices and backup documents for transactions are uploaded as per procurement guidelines, and ensuring expenditures are coded correctly. Processing requisitions and receipts in Statewide Financial System (SFS) for purchase orders while ensuring purchasing guidelines are adhered to. Sorting, indexing, and routing incoming mail; maintaining digital and physical filing systems. Assisting in training new park office staff on credit card reconciliation. If there are three (3) or fewer qualified NYS Office of Parks, Recreation and Historic Preservation eligible promotional employees respond to this posting, Civil Service may approve the permanent appointment of one of the qualified employees without further examination. At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified. Employees appointed via the NY HELPS program are restricted for promotional appointment until their position is covered-in to the competitive class by the New York State Civil Service Commission (CSC), or they otherwise obtain permanent competitive status.
