Job Summary

The Payments Coordinator is responsible for coordinating and processing vendor payments, electronic funds transfers (EFTs), wire transfers, and other disbursements while ensuring compliance with company policies and financial controls. This role works closely with Accounts Payable, Treasury, vendors, and banking partners to ensure payments are accurate, timely, and properly documented.

This position is designated as part-time telework per our global telework policy and will require at least three days of in-person attendance per week at the assigned office or project. Weekly in-person schedules will be determined by the individual and their supervisor, in consultation with functional or project leadership

Major Responsibilities

• Review and process vendor payment requests.
• Coordinate scheduled payment runs, including EFT, ACH, wire, and check payments.
• Validate payment batches prior to release.
• Reconcile payment reports and bank acknowledgments.
• Investigate and resolve payment exceptions, rejected payments, and banking issues.
• Monitor payment statuses and communicate updates to stakeholders.
• Support month-end and year-end closing activities related to cash disbursements.
• Maintain payment records and supporting documentation for audit purposes.
• Ensure compliance with company policies, regulatory requirements, and internal controls.
• Work with Accounts Payable teams to resolve invoice and payment discrepancies.
• Assist with testing and implementation of payment process improvements and system enhancements.

Education and Experience Requirements

• Requires an Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
• Requires less than 1 year of Accounts Payable, payment processing, or finance experience or 4-5 years of relevant experience in lieu of a degree.

Required Knowledge and Skills

• Experience with ERP systems such as Oracle, SAP, or similar financial applications.
• Proficiency in Microsoft Excel and other Microsoft Office applications.
• Strong analytical and problem-solving skills.
• Excellent attention to detail and organizational skills.
• Strong verbal and written communication skills.

Preferred Qualifications

• Experience with electronic payment platforms and banking systems.
• Knowledge of ACH, EFT, wire transfer, and international payment processes.
• Understanding of internal controls, compliance requirements, and audit procedures.
• Experience working in a high-volume AP or shared services environment.
