Essential Job Responsibilities Greet patients and visitors in a friendly, professional, and welcoming manner. Answer incoming telephone calls, direct calls to the appropriate departments, and take accurate messages. Schedule, confirm, and reschedule patient appointments as needed. Check patients in and out and assist with registration procedures. Verify and update patient demographic information, contact information, and insurance details as assigned. Collect, review, and organize patient registration paperwork. Maintain accurate patient records and enter information into the electronic medical record (EMR) system. Direct patients to the appropriate offices, departments, or healthcare providers. Assist with patient inquiries and communicate questions or concerns to the appropriate staff members. Handle incoming and outgoing mail, faxes, and other correspondence. Maintain an organized reception area and ensure the front office remains clean and professional. Protect confidential patient information and comply with HIPAA privacy requirements. Follow established office procedures and maintain a high standard of customer service. Assist with general clerical and administrative duties as needed. Perform other duties as assigned. Qualifications and Requirements High school diploma or equivalent required. Previous receptionist, clerical, or customer service experience preferred. Healthcare or medical office experience preferred but not required. Strong verbal and written communication skills. Professional telephone etiquette and customer service skills. Basic computer skills, including data entry and Microsoft Office applications. Ability to learn electronic medical record systems and office procedures. Strong organizational skills and attention to detail. Ability to multitask, prioritize responsibilities, and work effectively in a busy environment. Ability to maintain confidentiality and handle sensitive information appropriately. Dependable, punctual, and able to work cooperatively with patients, visitors, and staff.
