Project Mgmt, Non-Technical – P1 (Adm & Event Specialist)

Manages projects to ensure the highest level of performance and availability. Provides coordination, logistics and operational support for office administration, leadership meetings & activities, site visits and employee events. This role will support administrative tasks and will work cross functionally to execute and roll out site projects/events while maintaining professional and engaging experience for employees, visitors, customers, and business partners. This role works with all levels of the organization. 

Key Responsibilities

• Participate in the planning, execution and finalization of employee engagement, recognition, community, and other site-sponsored projects and events from planning through execution, according to strict deadlines, within budget and by following organized and repeatable procedures.
• Acquiring resources and coordinates the efforts of team members and third party contractors or consultants in order to deliver projects according to plan.
• Acts as a liaison with project stakeholders and effectively communicates project expectations to team members and stakeholders in a timely and clear fashion.
• Identifies and manages project dependencies and critical path items while ensuring project quality and utilizing and following appropriate methodologies.
• Conducts project post mortems and communicates lessons learned in order to identify successful and unsuccessful project elements.
• Plans and coordinates internal and external site visits, including agendas, logistics, catering, facility readiness, visitor access, and stakeholder communications.
• Maintains the site events calendar, support Site Leadership Team meetings and other leadership forums by coordinating schedules, meeting spaces, logistics, presentation materials, action-item tracking, visitor access, and catering arrangements.
• Coordinates the procurement of office supplies, promotional materials, event-related items, and other administrative resources.
• Supports vendor administration, including purchase requisitions, expense tracking, budget monitoring, and required documentation in accordance with company procedures.
• Identify and implement opportunities to improve administrative processes, project execution, visitor experiences, meeting effectiveness, and operational efficiency.

Qualifications

• Bachelor’s degree in business administration, project management, hospitality, communications, or a related field.
• 2+ years of related experience in project coordination, office administration, operations support, executive support, event management, workplace services, or a comparable function.
• Strong attention to detail, and the ability to effectively manage multiple priorities in a fast-paced environment.
• Strong interpersonal and communication skills, with the ability to build effective relationships across all levels of the organization.
• Demonstrated ability to work independently, anticipate needs, identify solutions, and resolve issues while escalating risks appropriately.
• Customer-focused and service-oriented mindset
• Ability to handle sensitive and confidential information with discretion, professionalism, and sound judgment.

Preferred Qualifications:

• Proficiency in Microsoft 365 applications, including Outlook, Teams, PowerPoint, Excel, and Word.
• Working knowledge of artificial intelligence tools, such as Microsoft Copilot, ChatGPT, or similar productivity applications.
• Bilingual proficiency in English and Spanish.
• Familiarity with project management tools, methods, or standardized templates for tracking schedules, actions, risks, budgets, and deliverables.

The anticipated compensation listed above and the value of core and optional employee benefits offered by Boston Scientific (BSC) – see will vary based on actual location of the position and other pertinent factors considered in determining actual compensation for the role. Compensation will be commensurate with demonstrable level of experience and training, pertinent education including licensure and certifications, among other relevant business or organizational needs. At BSC, it is not typical for an individual to be hired near the bottom or top of the anticipated salary range listed above.

Compensation for non-exempt (hourly), non-sales roles may also include variable compensation from time to time (e.g., any overtime and shift differential) and annual bonus target (subject to plan eligibility and other requirements).
