Bargaining Unit: No POSITION SUMMARY The Adult Literacy Program Coordinator supports the day-to-day operations of two adult literacy programs serving English language learners and adult students. This position combines administrative coordination, student support, communication, outreach, and data management responsibilities in support of program compliance and smooth program functioning. The Program Coordinator works closely with the Program Manager, instructional staff, and students to support intake, registration, testing, attendance tracking, communication, and general program operations. The position requires strong organizational skills, attention to detail, professionalism, and the ability to work effectively with linguistically and culturally diverse adult learners. Some responsibilities may be completed remotely as approved by the Program Manager. RESPONSIBILITIES Student Support & Communicatio

n Serve as a primary point of contact for prospective and current students via phone, email, text, and/or social media Respond to student inquiries regarding registration, schedules, attendance, testing, and program policies Support students during intake, orientation, registration, and testing process Assist students with general questions and referrals Maintain professional and culturally responsive communication with adult learners from diverse backgrounds Provide bilingual communication support if applicable Program Operations & Administrative Support Create and maintain class rosters each semester based on placement test results and teacher recommendations Ensure rosters, attendance records, and student databases are accurate and updated regularly Enter and maintain student demographic information, assessment scores, attendance, and related data in spreadsheets and/or required databases Ensure all required student forms and documentation are completed and properly filed Assist with student ID creation and coordination with campus offices Prepare certificates of completion and other student materials Assist with classroom logistics, photocopying, supply organization, and program setup as needed Maintain organized digital and physical program records Assist with compliance-related documentation and data collection required by NYSED and/or grant-funded programming Support pre- and post-testing coordination and tracking Outreach, Recruitment & Promotion Respond to inquiries from prospective students in general inbox Update flyers, promotional materials, QR codes, and registration information each semester Assist with maintaining program websites and/or social media platforms Help document program events and activities through photos, slideshows, newsletters, or other media Collaboration & General Support Maintain regular communication with the Program Manager Participate in staff meetings, trainings, and professional development as required Support special events, orientations, intake days, and end-of-semester celebrations Perform related duties and special projects as assigned REQUIRED QUALIFICATIONS Associate’s or Bachelor’s degree in education, administration, communications, social services, or a related field preferred Experience working in educational, nonprofit, community-based, or adult literacy settings preferred Bilingual or multilingual abilities, especially Spanish and/or languages commonly spoken by NYC adult learners Strong organizational skills and attention to detail Excellent interpersonal and written/verbal communication skills Ability to manage multiple tasks and deadlines Ability to work effectively with culturally and linguistically diverse populations Strong technology skills, including familiarity with Google Workspace, spreadsheets, databases, and online communication platforms Ability to maintain confidentiality and professionalism Ability to work onsite during program hours PREFERRED QUALIFICATIONS Experience working with adult learners and/or immigrant communities Familiarity with NYSED-funded adult literacy programs, data tracking systems, or educational compliance requirements Experience with student intake, testing coordination, or educational program administration Experience with Canva, social media management, website updates, or outreach materials SUPERVISION The Adult Literacy Program Coordinator reports to the Adult Literacy Program Manager.
