Description

Essential Job Functions

  • Draft, format, edit, and proofread correspondence, reports, and engagement letters
  • Maintain and update document templates and repositories
  • Coordinate and schedule internal and external meetings, including logistics, catering, and A/V needs
  • Serve as a point of contact for client and internal inquiries and provide backup support when staff are out of the office
  • Manage Partner calendars, ensuring accurate scheduling and preventing over-booking
  • Assist with processing and tracking client tax returns and extensions
  • Support electronic filing processes and input status updates into firm systems
  • Prepare expense reports, travel arrangements, conference registrations, and related logistics
  • Assist with new client and new engagement request documentation
  • Provide administrative support including database entry, scanning, copying, and report preparation
  • Collaborate with other administrative professionals to deliver seamless client service
  • Support firm initiatives and provide backup support for office operations as needed

  • Assist with special projects and other duties as assigned
  • Occasionally lift and transport packages up to 25 lbs. using appropriate equipment

Experience
Preferred

Experience drafting, formatting, proofreading, and distributing business correspondence (letters, engagement-style communications, emails) using standardized templates. Demonstrated experience managing complex calendars, scheduling internal/external meetings, and coordinating logistics (travel, catering, A/V, onsite/offsite meeting support). Experience handling confidential and sensitive information with discretion, including serving as a point of contact for clients and/or senior leaders. Experience with document management and file organization (electronic filing, scanning/image retention, maintaining shared repositories, version control of templates). Experience tracking work status and deadlines (e.g., return/engagement tracking, workflow status updates) and following through to completion across multiple concurrent requests.
