We are seeking a highly organized and dependable Staffing Scheduler & Medical Records Coordinator (CMA) to join our team. This dual-role position is responsible for coordinating nursing schedules, maintaining accurate medical records, supporting clinical operations, and participating in the nursing management on-call rotation as needed.

Position Summary

The Staffing Scheduler & Medical Records Coordinator is responsible for coordinating nursing staff schedules to ensure appropriate coverage, maintaining accurate resident medical records, and providing administrative support to the Nursing Department. This role works closely with nursing leadership to ensure compliance with staffing requirements, regulatory standards, and quality resident care.

Key ResponsibilitiesStaffing & Scheduling

• Prepare and maintain nursing department schedules.

• Coordinate staffing coverage for call-offs, vacations, and open shifts while ensuring compliance with staffing requirements.

• Maintain daily staffing records and communicate schedule changes promptly.

• Participate in the nursing management on-call rotation as needed to assist with staffing needs as a CNA and/or CMA.

• Accompany residents to appointments as needed for any clinical support needs.

• Work closely with the Director of Nursing and nursing leadership to ensure adequate staffing levels.

Medical Records

• Maintain organized, accurate, and confidential resident medical records in accordance with facility policies and state and federal regulations.

• Process medical records from admission through discharge.

• Complete routine chart audits to ensure documentation is accurate and complete.

• File laboratory, diagnostic, and physician reports promptly.

• Review physician orders and ensure follow-up appointments, diagnostic testing, and consultations are completed.

• Maintain resident census and physician assignment lists.

• Prepare charts for physician rounds and care plan meetings.

• Coordinate care plan meeting schedules and notify residents, families, and interdisciplinary team members.

• Monitor required documentation for clinical programs and regulatory compliance.

• Assist with maintaining MDS documentation within resident records.

Administrative Support

• Answer phones and assist residents, visitors, and staff professionally.

• Provide clerical support for admissions, transfers, and discharges.

• Assist with nursing department projects and administrative functions.

• Complete additional duties as assigned to support resident care and departmental operations.

Qualifications

• Current Certified Nursing Assistant (CNA) certification required.

• Current Certified Medication Aide (CMA) certification required.

• High school diploma or GED required.

• One to three years of experience in long-term care, skilled nursing, staffing coordination, medical records, or a related healthcare setting preferred.

• Current CPR certification preferred.

• Working knowledge of medical terminology and medical records management.

• Proficiency with Microsoft Office (Word, Excel, Outlook) and electronic health records.

• Strong organizational, scheduling, and time management skills.

• Excellent communication and customer service skills.

• Ability to maintain confidentiality and handle sensitive information professionally.

• Ability to work independently while collaborating effectively with interdisciplinary teams.

• Flexible, dependable, and able to prioritize multiple responsibilities in a fast-paced environment.
