The Manager of Capital oversees the management, tracking, and optimization of Surgical Solutions’ capital equipment  across all NYC client facilities . This role is responsible for inventory accuracy, equipment movement, repair coordination, vendor relationships, KPI tracking, and cost-saving initiatives. The ideal candidate has strong analytical skills, knowledge of surgical and endoscopic equipment, and a collaborative, solutions-focused approach. This role supports operational efficiency and ensures equipment availability across the organization.

Duties & Responsibilities:

Inventory Management

• Maintain accurate, up-to-date records of all capital equipment across multiple facilities.
• Track equipment usage, depreciation, and lifecycle to support procurement and replacement planning.
• Coordinate movement of equipment between sites to optimize utilization and meet operational needs.
• Maintain detailed documentation of equipment status, service history, and location changes.
• Use Excel and other tools to organize data, analyze trends, and support reporting.
• Lead quarterly inventory audits across all sites.

Repair & Maintenance Oversight

• Manage repair processes to ensure timely service and minimal equipment downtime.
• Coordinate with repair vendors to initiate service, monitor progress, and ensure timely communication.
• Track service histories to identify recurring issues and support preventative maintenance plans.
• Ensure availability and management of loaner equipment during repair periods.
• Collaborate with manufacturers to resolve warranty issues and facilitate cost-effective repairs or replacements.

Vendor & Contract Management

• Work with vendors to ensure compliance with contract terms and service-level agreements.
• Assist in negotiating pricing, warranties, and service agreements to support cost savings.
• Help develop and manage vendor contracts associated with capital equipment services.

KPI Tracking & Reporting

• Develop and monitor KPIs related to utilization, downtime, repair costs, and service performance.
• Analyze equipment data to identify trends and support strategic planning.
• Prepare and distribute regular performance, cost, and utilization reports.

Process Improvement & Compliance

• Identify and implement improvements to inventory tracking and equipment maintenance processes.
• Ensure compliance with internal policies, regulatory requirements, and safety standards.

Cross-Functional Collaboration

• Partner with Operations, Finance, Procurement, and Clinical teams to align equipment strategies with organizational goals.
• Support capital planning and budgeting efforts with data-driven recommendations.

Work Environment:

• Hospitals operate 24/7 and involve fast-paced environments with exposure to bloodborne pathogens, chemical disinfectants, and infectious materials.
• Must be able to wear required PPE (eye protection, gloves, shoe covers, head covering, gown).
• Approximately 20% home office / 80% travel for on-site audits, evaluations, and vendor coordination.

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and digital reporting systems.
• Comprehensive knowledge of OR and SPD operations, infection control, and hospital compliance standards.

Physical Demands:

• Ability to walk, bend, push, pull, lift, and maneuver heavy equipment.
• Lift and carry up to 50 lbs. individually or more with assistance.
• Full range of body motion; gross and fine motor skills sufficient for safe and effective work.
• Sustained periods of standing, walking, and sitting as required.

Qualifications:

• Bachelor’s degree in Business, Supply Chain, Finance, or related field.
• 3+ years of experience in capital equipment management, inventory control, or related healthcare role.
• Working knowledge of endoscopic video systems and minimally invasive surgical instruments.
• Proficiency in Microsoft Excel for data tracking, analysis, and reporting.
• Experience using hospital instrument tracking systems.
• Strong organizational skills and attention to detail.
• Excellent communication and cross-functional collaboration skills.
• Strong time-management abilities and comfort managing multiple priorities.
• Proactive, team-oriented, and solutions-focused.
• CRCST certification required.
• Experience in sterile processing, medical equipment management, or healthcare preferred.
• Understanding of regulatory standards related to medical capital equipment.

• Pay range, depending on experience, is $75,000 - $95,000 base salary, plus annual performance bonus eligibility
