Job Summary Coordinates and assists with the operational activities and procedures of the Occupational Therapy (OT) Department clinical education and admissions process. Coordinates logistical matters related to the OT Department contracts and facilitates clinical placement offers. This position will report to the Chair of the OT Department. Coordinates and administers the operational activities of the Occupational Therapy Department Clinical Education program. Supports the day-to-day management of the OT Clinical Education program. Oversees the Occupational Therapy Department admission process and closely assists students through the entire recruitment process. Oversees and facilitates specific activities for the OT Clinical Education program, which includes coordinating travel arrangements and preparation of Travel Authorization requests and travel reimbursements for the Fieldwork Coordinator. Collects and maintains data of all students' clinical experience and provides paperwork to all the faculty who supervise students. Organizes and maintains admission data, including demographic and academic status. Oversees and organizes the collection and preparation of data required by the program's accrediting body, ACOTE, Accreditation Council for Occupational Therapy Education. Oversees and facilitates the clinical placement offers and maintains and updates the facility information. Coordinates and follows up with the students and the facilities. Confirms student placements. Performs administrative duties supporting instruction, such as developing clinical experience information. Coordinates and prepares the clinical requirement documentation prior to the start of the students' internship. Coordinates the logistical matters related to the OT contracts and verifies their status. Coordinates the scheduling by assigning the faculty supervision schedule of students based on the faculty assignments for each semester. Manages, maintains, and monitors the web-based admission system by entering the decision codes for all applicants who have applied to the program and providing access to other users. Coordinates, plans and schedules on-campus interviews and mass interviews. Monitors the status of projects. Assists in analysis of program data, develops, reports and tracking systems in Excel spreadsheets, including the contact information for students with the facility. Serves as liaison and primary contact to outside facilities to request clinical experience confirmation offers and inputs information into software system. Coordinates and assists with the operational activities associated with the Occupational Therapy (OT) department. Serves as the frontline point of contact to students in the program for informational advisement on all non-instructional matters. Coordinates and executes the development, scheduling and implementation of new and ongoing academic/student programs or services in the OT department. Inputs course scheduling. Administers faculty evaluations each semester. Coordinates logistical matters related to the OT Department's projects including planning, initiation, coordination, implementation, and evaluation. Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. Minimum Qualifications Bachelor's degree and 1 year of experience ; OR 5 years of office or related experience; OR an equivalent combination of relevant education and/or experience. Desired Qualifications Knowledge in Microsoft Office Suite (Word, Excel).
