We are seeking an experienced, motivated, and patient-focused Dental Hygiene Coordinator to join our outstanding team.

The Hygiene Coordinator is responsible for managing the hygiene schedule, supporting an efficient flow of patients, and helping patients remain consistent with their recommended preventive care. The ideal candidate is organized, dependable, proactive, and comfortable communicating with patients in a warm and professional manner.

This position also works closely with our hygienists, doctors, dental assistants, and front-office team to create a smooth and positive experience for every patient.

Key Responsibilities

• Manage and maintain a productive, well-organized hygiene schedule
• Schedule patients for routine cleanings, periodontal maintenance, scaling and root planing, and other recommended hygiene services
• Confirm upcoming appointments and proactively fill cancellations or openings
• Contact overdue and inactive patients to help them return for recommended preventive care
• Maintain and manage the hygiene continuing-care and patient-recall system
• Keep an active short-call list to fill last-minute openings
• Review future schedules and identify patients who need follow-up appointments
• Clearly explain the importance of preventive care and recommended hygiene intervals
• Communicate with patients in a caring, helpful, and non-transactional manner
• Help patients understand proposed hygiene treatment and encourage them to complete recommended care
• Coordinate treatment and scheduling needs between the hygienists, doctors, assistants, and front-office team
• Monitor patient flow and help keep the hygiene department running on schedule
• Welcome patients, assist with check-in and check-out, and schedule their next appointments
• Verify that patient information, insurance details, and required forms are current
• Review insurance eligibility and hygiene benefits when needed
• Collect patient payments and clearly communicate estimated financial responsibilities
• Accurately document patient communications, appointment changes, and follow-up activities
• Assist other front-office team members with incoming calls, scheduling, and general patient needs
• Participate in team meetings and contribute ideas for improving scheduling, patient retention, and the overall patient experience
• Protect patient confidentiality and follow HIPAA and office policies

Qualifications

• Previous dental front-office or hygiene-coordination experience is strongly preferred
• Experience using Dentrix Ascend or similar dental practice-management software
• Understanding of dental terminology, hygiene procedures, periodontal treatment, insurance benefits, and patient-recall systems
• Strong scheduling, organizational, and time-management skills
• Excellent telephone, written, and in-person communication skills
• Ability to confidently communicate with patients and help them schedule recommended care
• Friendly, professional, dependable, and patient-focused attitude
• Ability to manage multiple priorities in a busy dental office
• Strong attention to detail and accuracy
• Willingness to support coworkers and work collaboratively as part of a team
