The Ph.D. Program in Psychology is an exciting and active program with approximately 300 doctoral students and 350 faculty located on nine affiliated CUNY campuses. The Executive Office, located at the Graduate Center, serves as the hub of this expansive consortium, facilitating student progress, research and scholarly productivity, and campus cooperation. The Assistant Program Officer works with the Executive Officer, the Graduate Center administration, the administrative staff at the affiliated CUNY colleges, and faculty and student leaders to support the mission of the doctoral program in Psychology. This position requires the incumbent to work in person. Duties Manages, with the support of adequate staffing, the program’s administrative office work; Manages the course scheduling process and coordinates with the Training Area Heads, Campus Administrators, and the Registrar’s Office on scheduling updates and problems; Supports the program by overseeing the creation of a database and CUNYFirst queries for analysis in support of preparing student academic milestones, budget-related, admissions-related, courses, financial aid-related reports as needed by the EO, GC Administration, and the program; Responsible for overall management of program databases and files; Schedules, assigns, and manages daily workload of the College Assistants who assist the program with administrative matters and process academic related documents; Writes program announcements and disseminates information; Prepares and manages budget for OTPS and Recruitment Funds, psychology fund, program activities, reimbursements, program fees, professional consulting expenses, professional memberships, etc.; Works with the EO and admissions committees to support and help manage the admissions process; Compiles and gains expertise with CUNY and program procedures, provides staff and faculty guidance and training as needed, and develops and updates files and forms as needed; Serves as facilities and supply manager by working with the EO to manage Psychology space; oversees maintenance and repair of rooms and offices; manages keys and room access; ensures necessary office supplies; oversees equipment maintenance and repair; works with campuses to facilitate OTPS/equipment purchases; Effectively represents the program to current and prospective students and the GC administration; Provides support to program, meetings and events; Provides orientation and training on EO Office Administrative Systems to faculty, students, and campus administrative assistants as necessary; Manages the program’s website and listservs; Provides support to the Program’s Governance procedures, including election processes, new faculty appointments, and curricular changes; Provides orientation and office support to visiting scholars and new faculty; Provides orientation to prospective students as needed; Performs other duties as assigned.
