Position: Operations Coordinator – Dental Department Location: 1601 Washington Street, 20 Maverick Square – Cradock Building (All Locations) Time Type: Full time Position Summary Under the supervision of the Administrative Director, the Operations Coordinator performs a variety of administrative and practice management functions that support the daily operations of the Dental department. The coordinator works with providers, dental supervisors, and other staff to create an excellent patient experience. Responsibilities Manage department schedule templates in Epic, including opening, closing, and editing individual provider schedules. Handle outgoing and incoming referrals as instructed by providers, scheduling appointments, submitting supporting documents, and engaging in patient outreach. Monitor referral reports and submit prior authorization requests for eligible patients. Track high‑risk patients and assist with patient flow and waiting room management. Coordinate the department recall and waiting list. Perform a wide range of clerical and administrative duties to support daily operations, including copying, filing, faxing, and responding to record and imaging requests from external providers. Coordinate and support tasks associated with performance‑improvement projects and compliance with regulatory requirements. Support onboarding of Boston University Dental Residents when needed. Handle all incoming calls that Patient Access Coordinators (PACs) are not able to address. Verify dental plans, benefits, and coverage specific to patients’ treatment plans. Advising patients about out‑of‑pocket expenses and payment‑plan options. Coordinate care for patients needing prior authorization for treatment plans. Qualifications High School Diploma or equivalent (required). Bilingual skills in Spanish and English (required). Prior work experience in a healthcare setting (call handling, scheduling, customer service), preferably in a dental clinic. Computer skills, including working knowledge of insurance verification processes. Demonstrated ability to work cooperatively in a patient‑centered, fast‑paced environment.
