Pillar4 Media is seeking a part-time Operations Coordinator to join our fast-growing team in Charlotte, NC.

The Operations Coordinator will provide hands-on support across office operations, employee experience, and Talent programs. This role will help keep day-to-day processes running smoothly by coordinating office needs, employee recognition and events, new hire and offboarding logistics, and HR administration. The ideal candidate is organized, proactive, and excited to gain exposure to both HR and broader business operations while supporting a growing team.

What You'll Be Doing

Reporting to the Manager, Executive Operations the Operations Coordinator will:

Office & Administrative Support

• Manage office supplies and recurring office needs
• Receive and coordinate mail and packages
• Track equipment and inventory

Employee Recognition & Experience

• Track work anniversaries, milestones, and other recognition opportunities
• Support recurring employee experience initiatives (ex: Teammate Task Force Activities)

• Research, order, and coordinate teammate and partner gifts
• Support Talent events, company lunches, celebrations, and other employee programming

New Hire & Offboarding Support

• Prepare equipment, desks, swag, and welcome materials for new hires
• Support onboarding checklist administration
• Coordinate equipment retrieval during offboarding
• Maintain accurate equipment and offboarding records

Talent Systems & Administration

• Update process documentation and Talent resources (ex: Updating our new Notion page)
• Support administrative components of employee lifecycle programs
• Assist with data entry, document organization, trackers, and recurring Talent processes

Operations & Special Projects

• As capacity allows, the coordinator could also support defined projects such as research, event preparation, data cleanup, document organization, and other administrative Operations or Talent needs.

What You Bring

• Currently pursuing a degree in Human Resources, Business, Organizational Leadership, Communications, or a related field
• Strong organizational skills with the ability to manage multiple tasks, deadlines, and recurring responsibilities
• Dependable and accountable - someone who follows through and can be trusted to own tasks from start to finish
• Professional with strong written and verbal communication skills
• Good judgment and discretion when handling employee or confidential information
• Comfortable learning new systems, tools, and processes
• Interest in Operations, HR, or employee experience
• Ability to work 10–18 hours per week onsite in our Charlotte office

Prior HR or Operations experience is not required. We're looking for someone eager to learn, contribute, and gain hands-on experience.
