Description DEFINITION
Under general supervision, to perform a variety of responsible clerical and office support duties in preparation and maintenance of police records in an office environment. DISTINGUISHING CHARACTERISTICS
Incumbents in this class perform a wide range of clerical work requiring knowledge of office procedures and the use of independent judgment within a set of guidelines and parameters, and reports to the Records Supervisor.
Qualifications & Examples of Duties MINIMUM QUALIFICATIONS
EDUCATION
• Completion of the twelfth grade or equivalent.
EXPERIENCE
• One-year office experience in a clerical position requiring public contact.
LICENSE
• Possession of, or ability to obtain, an appropriate, valid driver's license from the California Department of Motor Vehicles. PHYSICAL DEMANDS AND WORKING CONDITIONS
Ability to sit, stand, walk, crouch, stoop, squat, and lift 40 pounds. EXAMPLES OF DUTIES
• Receives and screens visitors and telephone calls for police department.
• Reviews department records for pertinent information.
• Provides courteous and expeditious customer service to police personnel, City
department staff, other law enforcement personnel and the general public.
• Types, formats, edits, proofreads, files, gathers, and compiles correspondence, reports,
forms, and a variety of other documents related to the functions of the police department.
• Maintains radio contact with units in the field.
• Keeps computer logs of all department activities.
• Processes, completes and maintains department records and forms.
• Receives currency and issues receipts.
• May process permits and licenses.
• May assist in the compilation of figures and statistics.
• May be required to work overtime or irregular hours.
• And other related duties as assigned.

The following generally describes the knowledge and ability required to enter the job and/or be learned within a short period of time in order to successfully perform the assigned duties. Knowledge of:
• Basic computer terminal operation methods and office software.
• Record-keeping methods.
• Modern office methods, equipment and procedures.
• Correct English usage, spelling, grammar and punctuation.
• Filing systems and procedures.
• Spanish or Hmong language verbal communication skills are highly desirable. Ability to:
• Operate radio transmitting communication equipment.
• Communicate effectively both orally and in writing.
• Deal with the general public in a positive and professional manner.
• Perform a variety of clerical work involving use of independent judgment, accuracy and speed.
• Remember and perform multiple tasks simultaneously.
• Understand and carry out oral and written directions.
• Establish and maintain cooperative working relationships with others.
• Meet the public tactfully and courteously and furnish routine information.
• Perform duties without direct supervision.
