Hal’s the Steakhouse is seeking a detail-oriented, driven, and personable Event Coordinator to lead all private events

and outside business development while supporting Nashville’s front-of-house team. This is a hybrid role that offers real ownership over a key piece of our growth strategy in the Nashville market. The primary responsibilities center on private and large party events, reservations, and outside business development. When private events are not in active execution, other responsibilities will include administrative tasks, the operational backbone behind every successful event, and host stand/floor support. This part of the role connects you to the daily pulse of the restaurant, ensuring your private event execution stays grounded in real guest experience. This position works closely with the executive operations team and Nashville’s management team.

Requirements:

Primary Responsibilities – Private Events & Outside Business Development

Private & Large Party Events:

• Own full lifecycle of private dining and large party bookings, from initial inquiry through execution and post-event follow-up
• Coordinate with the kitchen, FOH team, and management to ensure flawless execution
• Manage contracts and BEOs
• Serve as primary point of contact for hosts before, during, and after their events

Outside Business Development & Guest Relations:

• Actively engage with the Nashville community to foster brand recognition and assist business growth
• Cultivate relationships with corporate clients, hotels, concierges, wedding/event planners, local businesses, and prospective guests across the city
• Network, attend industry events, and host site visits to bring new business through the door
• Build lasting personal relationships with Hal’s regulars and VIPs (just as important as winning new accounts)

Secondary Responsibilities – Administrative

• Manage contracts, deposits, and final invoicing through TripleSeat and Stripe
• Maintain accurate records in OpenTable for reservations and TripleSeat for events
• Produce BEOs, run sheets, and final guest counts
• Coordinate billing, gratuity reconciliation, and post-event reporting
• Track inquiry-to-booking conversion and other event performance metrics

Tertiary Responsibilities – Host Stand & Floor Support

• Support the host stand during peak service
• Provide floor management presence to uphold service standards
• Step in wherever the team needs support and lead by example

Key Performance Indicators (KPIs)

• Private event revenue (monthly and year-over-year)
• Number of private events booked per month
• Average revenue per event
• Inquiry-to-booking conversion rate
• New corporate and group account acquisition in the Nashville market
• Repeat client retention
• Guest satisfaction scores from private events
• Contribution to overall sales growth at the Nashville location

channels, and the relationships you build outside the restaurant will compound for years. You won’t just be filling our private dining room – you’ll be shaping how Hal’s is perceived in the Nashville market and building the network that drives our long-term reputation in the city.

Ideal Candidate & Requirements

• Prior experience in private events, hospitality sales, or upscale restaurant operations
• Comfortable owning a sales pipeline and going out to generate business, not just managing inbound inquiries
• Established (or actively building) a network within the Nashville hospitality and corporate community is a strong plus
• Strong written and verbal communication skills
• Detail-oriented with the discipline to manage contracts, paperwork, and follow-up
• Comfortable on the floor and at the host stand during service
• Polished, warm, and professional presence
• Proficient with (or able to quickly learn) OpenTable, TripleSeat, Opus, 7Shifts, Microsoft Office/Google Workspace, and NCR platforms
• Flexible schedule, including evenings, weekends, and event-driven hours
