Job Description

The Planning Clerk based in Hebron, Kentucky supports daily production operations by reviewing orders, managing shipment issues, maintaining accurate job status updates, ensuring specimen and inventory quality, and preparing all necessary documentation for job execution. This role requires strong organizational and communication skills to coordinate effectively with internal teams and customers, while working under the direction of the Customer Service Manager to ensure all customer specifications are met.

Responsibilities

• Protect and manage customer inventory with care, performing all duties in a safe and responsible manner to prevent loss or damage.

• Review all incoming parts and associated documentation to ensure accuracy and completeness.

• Identify and flag any discrepancies on incoming orders and work with internal contacts or customers to resolve issues promptly.

• Resolve incoming receiving discrepancies and ensure records accurately reflect received materials.

• Correct job travelers and planning paperwork to ensure all information is accurate and up to date.

• Plan jobs and open folders that include all necessary paperwork such as technical plans and operation sheets.

• Plan jobs to include expedite fees or premium charges when they are not already included on the order.

• Contact customers to obtain amended orders when discrepancies or changes are identified.

• Deliver job folders to the shop floor quickly and efficiently to support on-time production.

• Devise and manage a method for reporting and communicating jobs on hold, ensuring all interested parties receive daily status updates.

• Ensure all required materials and documents are properly included with lab folders.

• Maintain accurate information within the Epicor system to support reliable reporting and planning.

• Report to work on time, follow directions, interact effectively with co-workers, and adhere to company rules and procedures.

• Accept and respond constructively to feedback and coaching from leadership.

• Assist others as directed by the Customer Service Manager, including serving as a backup for Shipping/Receiving Clerks as needed.

• Follow written instructions for packing completed parts for shipping and unpacking parts for processing.

• Observe all Environmental, Health and Safety policy requirements, including keeping the work area neat and orderly at all times.

• Wear required Personal Protective Equipment (PPE) and handle waste disposal in accordance with safety standards.

• Perform detailed data entry tasks and maintain accurate documentation related to inventory, orders, and production planning.

• Match orders to entries in the ERP system, enter orders into the ERP, and print technical plans for job folders.

• Support production planning and scheduling activities by providing timely and accurate clerical and administrative support.

• Perform other tasks as assigned or dictated by the position to support departmental and company objectives.

Essential Skills

• High school diploma or equivalent.

• Ability to meet ITAR compliance requirements.

• Demonstrated organizational skills with strong attention to detail and documentation accuracy.

• Experience performing detailed data entry with a high level of accuracy.

• Ability to work effectively in a production or office/industrial environment.

• Strong verbal and written communication skills for interaction with co-workers and customers.

• Ability to follow directions, understand and adhere to rules and procedures, and accept constructive criticism.

• Capability to sit and stand for extended periods in an office/industrial setting.

• Manual dexterity to perform detailed data entry functions.

• Ability to bend, pull, stoop, and reach to perform job functions.

• Ability to lift up to 35 pounds as needed.

• Capacity to work in environments that may include heat, fumes, noise, and humidity.

• Cognitive and mental capacity to perform essential job functions and manage multiple tasks.

• Visual acuity to read documents, computer screens, files, and job travelers.

• Ability to hear and communicate effectively in person and via phone.

Additional Skills & Qualifications

• Working experience in a production environment preferred.

• Experience in inventory control or inventory management.

• Experience with production planning, production scheduling, or planner-related duties.

• Clerical or administrative experience in a manufacturing or industrial setting.

• Familiarity with ERP systems, particularly for order entry and production planning.

• Experience with Epicor or similar manufacturing resource planning systems.

• Ability to support Shipping/Receiving functions during high-volume periods or staff absences.

• Comfort working in a fast-paced, busy environment with changing priorities.

Work Environment

The role is based in a busy, fast-paced production environment that is not climate controlled, so temperatures and conditions may vary throughout the year. The workspace includes both office and industrial areas, where employees may be exposed to heat, fumes, noise, and humidity. The shop is kept clean and orderly, and employees use Personal Protective Equipment (PPE) as required by Environmental, Health and Safety policies. Work typically follows 8-hour shifts, with a focus on maintaining a neat work area and safe handling of materials and waste. The position involves regular use of computers and ERP systems for data entry and planning, along with handling physical job folders, parts, and inventory on the shop floor.

This is a Contract to Hire position based out of Hebron, KY.

Pay and Benefits

The pay range for this position is $21.00 - $21.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
