SUMMARYThe Program Coordinator plays a key role in shaping the execution of programs and projects and must be a dynamic self-starter capable of managing a wide array of responsibilities. This individual will engage with hospitals, health systems, behavioral health and public health departments, Medi-Cal Managed Care Plans, community clinics, community-based organizations, and other local stakeholders to improve community health in Ventura County. The Program Coordinator will work closely with the CLC Program Manager and the Ventura County Community Health Improvement Collaborative (VCCHIC) to support the implementation of its Community Health Improvement Strategy – as well as other day-to-day communications, administration, essential partner engagement, analysis, and reporting functions. As this position serves Ventura County communities, the ideal candidate will have a working knowledge of Ventura County and its unique stakeholder landscape as well as public health and the health care industry – particularly in population health and/or community health improvement. Must be organized, detail-oriented, and an effective communicator to understand different stakeholder priorities and communicate appropriately with internal leaders and external leaders of stakeholder organizations, subject matter experts, and community groups. MAJOR DUTIES
Communications & Community Engagement
- Assist the Program Manager (PM) in developing communications assets for VCCHIC-related work (e.g., emails, web page, slide presentations, talking points, etc.)
- Assist the PM in tracking, assessing, and archiving progress made on the Ventura County Community Health Improvement Strategy (CHIS)
- Support the PM in conducting project evaluation, progress reports, and grant applications
- Support the PM in strategic planning for VCCHIC and other CLC-related initiatives
- Coordinate all VCCHIC invoices, partner contributions, and Wellness Fund-related financial transactions
- Support in tracking program expenditures
- Support VCCHIC fund-seeking efforts, including proposals, calendaring, and related activities
- Support the PM in agenda-setting, preparing meeting logistics, and carrying out meetings
- Keep all VCCHIC meetings accurately calendared
- Ensure that AI notes from meetings are promptly collected, accurate, and submitted for review
- Efficiently archive all approved agendas, presentations, notes, and relevant materials appropriately on shared drive
- Organize and maintain an efficient filing system; prepares memos, letters, reports and email communications
- Coordinate efficiently and often with VCCHIC partners and committees via email and list serve
- Support the PM in responding to partner questions and technical assistance needs
- Keep various VCCHIC rosters up to date and accurate
Required Knowledge, Skills, and Abilities:
- General understanding of operations, population health management, public health challenges and health inequities.
- Demonstrated organizational and research skills.
- Knowledge of general office administration and practices.
- Skill in writing email communications, memos, letters, brochures, and various other printed information.
- Skill in organizing and prioritizing workload.
- Skill in producing accurate work.
- Skill in maintaining a professional demeanor in person and over the phone.
- Skill in communicating effectively and accurately (grammatical and spelling) both orally and in writing, in English.
- Skill in using and understanding software programs – specifically, Microsoft Word, Excel, and Asana, with a particular emphasis on project management software programs.
- Skill in typing no less than 65 words per minute, as well as using a 10-key adding machine.
- Ability to work in a team environment and demonstrate effectiveness in doing so.
- Ability to work effectively with a diverse group of people from different professional levels with an emphasis on customer service – and in a diplomatic manner.
- Self-starter, innovator, and collaborator.
- Ability to travel 20% of the time. Travel will be primarily in the HASC region.
Education and Experience:
- Bachelor’s degree in health care or public health preferred; and business administration, or related field may be considered.
- Three to five years’ experience. Other relevant experience may be considered in lieu of the above.
- Minimum of one year of experience in data analysis and project management preferred.
