We are seeking a dependable Administrative Assistant / Front Office Coordinator in the Magnolia, Texas area.

We’re looking for someone who enjoys working in a professional office environment, provides exceptional customer service, and can confidently manage multiple administrative responsibilities while keeping the office running smoothly. Key Responsibilities:

• Answer and direct incoming phone calls
• Greet customers, vendors, and visitors professionally
• Receive deliveries and distribute incoming mail
• Scan and electronically file documents
• Maintain organized filing systems
• Prepare Accounts Payable invoices for Project Managers to code
• Assist with Accounts Receivable invoice posting and distribution
• Manage lien waivers and project documentation
• Review employee TSheets for time and location accuracy
• Assist with general office administration and special projects
• Support daily office operations as needed

Requirements:

• Previous receptionist, administrative assistant, office coordinator, or customer service experience preferred
• Strong Microsoft Office skills (Word, Excel, Outlook)
• Excellent communication and interpersonal skills
• Professional phone etiquette
• Strong attention to detail and organizational skills
• Ability to multitask and prioritize work
• High School Diploma or GED
• Positive, dependable, and professional attitude
