The Prospect Research and Database Assistant plays a key role in supporting the Office of Development and Alumni Relations team through accurate data management and targeted prospect research. Responsibilities include preparing research briefs, updating constituent records, running basic reports, and supporting portfolio management efforts. This role contributes to efficient daily operations and supports data informed fundraising strategies through strong attention to detail and organization. The Prospect Research and Database Assistant reports to the Director of Development and Alumni Services. Typical Duties/Job Duties
- Conduct donor and prospect research to support development officers by gathering and analyzing information on current and potential donors. Prepare monthly research briefs, biographies, and additional profiles as requested by ODAR staff. Collaborate with the TTUS research team when specialized support is needed. Identify new prospects by reviewing donor and event lists, assessing wealth indicators, and performing targeted online research.
- Support development officers in managing their prospect portfolios within the alumni database. Maintain accurate and well-organized prospect and donor information, ensuring records reflect current engagement and strategy details. Generate ad-hoc reports related to prospect activity, visits, proposals, and other key metrics as needed. Create and assign new prospect records when appropriate. Maintain simple dashboards and database views that provide development officers and the donor stewardship officer with quick access to essential portfolio and donor information.
- Update and maintain constituent records in the alumni database by entering verified research findings, including contact details, employment information, job titles, and employer changes. Collaborate closely with the Advancement Services Assistant to ensure accurate board updates, event attendance records, and mailing lists. Conduct regular data audits and participate in cleanup projects to keep database information organized, consistent, and aligned with established data standards.
- Provide reporting support by generating mailing lists, membership lists, and gift-related reports for ODAR staff. Collaborate with IT to develop more complex or customized reports when needed. Work closely with the services team to refine coding, data structures, and reporting processes to ensure accuracy, consistency, and high-quality data outputs.
- Support data-driven fundraising efforts by conducting basic data analysis and using approved AI-powered tools to enhance prospect identification, research efficiency, and strategic decision-making. Assist the ODAR team in preparing data summaries, charts, and visualizations that highlight key trends and insights. Identify opportunities to streamline workflows through new data capabilities or AI enhancements. Participate in ongoing training related to data analytics, AI in fundraising, and CRM system improvements to stay current with emerging tools and best practices.
- Understanding of fundraising principles and the donor lifecycle
- Basic knowledge of prospect research methods, including wealth indicators
- Knowledge of donor and alumni database management
- Knowledge of data governance and compliance requirements
- Knowledge of data entry practices, accurate recordkeeping, and detailed reporting
- Basic proficiency in reports and spreadsheets (e.g., Excel, Google Sheets), including sorting, filtering, and basic formulas
- Strong oral and written communication skills
- Effective use of technology and AI tools to improve efficiency, communication, and data-driven decision-making
- Ability to organize and analyze data
- Ability to maintain accuracy and attention to detail in data management and reporting
- Ability to apply technology tools to support process improvement and operational effectiveness
