Job Title: Department Coordinator 3
Location: Bridgeton, MO 63044 (Hybrid)
Duration: 4 months

• Responsible for supporting the sales managers through coordination and administration of sales activity. Prepare sales shipping reports, open jobs, and coordinate with accounting. Order equipment for jobs, review and send acknowledgements to salesmen. Provide customer service to our Channel Partners by supporting their sales endeavors by answering questions regarding their orders and general inquiries as directed.

Principal Responsibilities:

• Order all equipment and coordinate deliveries as well as maintain open and closed job files involving work orders, purchase orders, material transfers, shipping requests, and acknowledgements.
• Process sale order changes. Follow up with Coordinators, Freight Carriers, Quotation Representatives, Field Equipment Representatives and Sales Representatives as necessary to ensure accuracy and expeditious completion of jobs.
• Prepare and maintain job files including back-up paperwork as it pertains to the job.
• Issue PO's to manufacturing plants for required equipment.
• Review acknowledgements and send a copy to Field Equipment Representative/Sales Representative for review.
• Prepare accurate monthly job forecasting; verify credit approvals as needed.
• Ensure customer satisfaction (internal and external) by maintaining high level of communication through job completion.
• Individual must have the ability to deal with a variety of problems and customer questions.
• Provide written correspondence to customers, vendors and managers within company policy and guidelines.
• Assist accounting department in researching billing discrepancies and assist to resolve issues.

Scope & Dimensions:

• Position requires the annual booking of several million dollars of equipment per year.

Formal Education Requirement:

• Required Level: High School
• Preferred level: Bachelor's Degree

• Strong project management skills, including the ability to organize and coordinate multiple tasks, communicate information in a timely fashion and with the appropriate sense of urgency.
• Attention to customer needs and maintains a high level of discretion and confidentiality in dealing with sensitive material.
• Excellent verbal and written communications skills, organizational skills, mathematical skills, detail oriented and highly motivated.
• Ability to work both individually and as a team.
• Knowledge of Microsoft Word, Excel, Outlook, and PowerPoint.
• Desire for continuous learning through cross-training.
• Experience with Client products desired, not required.
• Less than 5% travel required.

Coordinator I

• 0-2 years' experience
• Basic computer skills (Outlook, Word, Excel, PowerPoint)
• Basic understanding of general job aspects. Some understanding of the detailed aspects of the job.
• Close supervision involving detailed instructions and review of work performed.
• Applies company policies and procedures to resolve routine issues.
• Limited decision-making, limited customer exposure.

Coordinator II

• 2-5 yrs. experience
• Intermediate computer skills (Outlook, Word, Excel, PowerPoint, HPC, SAF, Oracle, Client, BSS, DART, Windchill, Autodesk)
• Basic equipment product knowledge.
• Substantial understanding of general aspects of the job. Broad understanding of the detailed aspects of the job.
• General supervision and instructions given for routine work and detailed instructions given for new activities or special assignments.
• Works on assignments that are semi-routine in nature but recognizes the need for occasional deviation from accepted practice.
• Exercises judgment, within defined procedures and practices, to determine appropriate actions and decision making; interact cross functionally on assignments and projects.
• Intermittent customer contact, can answer basic customer inquiries.

Coordinator III

• 5+ yrs experience
• Proficient computer skills (Outlook, Word, Excel, PowerPoint, HPC, SAF, Oracle, Client, BSS, DART, Wind-chill, Autodesk)
• Considerable understanding of the general and detailed aspects of the job and their practical applications to problems and situations ordinarily encountered.
• Considerable equipment product knowledge.
• Basic quotation knowledge.
• Limited supervision, no instructions needed on routine work and general instructions given on new lines of work.
• Works on assignments and special projects that are moderately difficult, requiring judgment in resolving issues or in making recommendations
• Lead cross functional assignments and project teams.
• Direct customer contact, can anticipate and prevent customer inquiries
• Effective at training less experienced Sales Coordinators.
• Consistently exceeds in living the 7 Client Behaviour's for Success.
