The MRI Scheduling Coordinator is responsible for coordinating and scheduling MRI appointments while delivering exceptional customer service to patients, referring providers, and clinical staff. This position ensures accurate scheduling, verifies patient information, obtains required authorizations, provides exam preparation instructions, and supports efficient workflow within the imaging department. The MRI Scheduling Coordinator serves as a key point of contact, helping patients navigate the scheduling process and ensuring timely access to diagnostic imaging services.

Essential Duties and Responsibilities

• Schedule MRI examinations in accordance with physician orders, clinical protocols, and scanner availability.
• Verify patient demographics, insurance coverage, and physician orders for accuracy.
• Coordinate appointments based on exam type, patient needs, urgency, and MRI safety requirements.
• Screen patients for MRI contraindications, including implanted medical devices, metal exposure, claustrophobia, and other safety concerns.
• Provide patients with clear instructions regarding exam preparation, arrival times, required documentation, and expectations.
• Communicate effectively with referring physician offices to obtain missing documentation, corrected orders, or additional clinical information.
• Reschedule appointments as necessary due to equipment maintenance, patient requests, or clinical priorities.
• Maintain accurate scheduling records and update electronic medical records (EMR) and radiology information systems (RIS).
• Answer incoming phone calls and respond to patient and provider inquiries professionally and promptly.
• Ensure compliance with HIPAA regulations and maintain patient confidentiality.
• Monitor daily schedules to minimize gaps, maximize scanner utilization, and reduce patient wait times.
