Kongsberg Defense & Aerospace, Inc. is seeking a highly organized and detail‑driven Project Coordinator II to support the execution of U.S. Government defense programs and ensure seamless project flow from customer demand through final delivery. In this role, you will serve as a central coordination hub—connecting Project Management, Contracts, Finance, Production Planning, Supply Chain, Quality, Logistics, DCMA, and customer stakeholders to keep complex defense projects moving with precision.
You will be responsible for tracking project activities across the full lifecycle, maintaining accurate records, proactively following up on open actions, identifying schedule or execution risks, and escalating issues when needed. This position requires someone who can independently execute established processes, communicate clearly across functions, and keep projects aligned with contractual, production, and delivery requirements.

PRIMARY ROLES:
Project Administration & Execution:
- Responsible for supporting the planning, coordination, execution, and monitoring of assigned projects, including customer demand, project schedules, delivery milestones, action items, project documentation, and reporting within applicable business systems
- Coordinate cross-functional project activities and meetings, monitor production and delivery status, identify schedule or execution risks, and drive required actions and stakeholder inputs to closure.
Contract Delivery & Government Acceptance:
- Responsible for coordinating contractual delivery activities from production completion through Government acceptance, including preparation and coordination of Certificates of Conformance (CoC), required delivery documentation, and submissions to the Defense Contract Management Agency (DCMA).
- Monitor Government inspection and acceptance activities, maintain required delivery records, and coordinate resolution of routine documentation, quality, or acceptance issues with applicable stakeholders.
WAWF / Invoicing Support:
- Responsible for the coordination, entry, and monitoring of Wide Area Workflow (WAWF) / Procurement Integrated Enterprise Environment (PIEE) receiving reports, invoices, and associated resolutions.
- Prepare and submit applicable receiving reports and invoicing through required systems, coordinate with customers and internal stakeholders to resolve issues, and maintain required records in accordance with applicable policy and regulation.
Shipping & Logistics Coordination:
- Responsible for coordinating contractual shipments, including Release Requests (RR), required shipping documentation, planned shipment dates, and transportation requirements with Production, Quality, Shipping/Logistics, Program Management, customers, and other applicable stakeholders.
- Monitor deliveries through physical shipment and completion, maintain required shipment and tracking records, communicate delivery status, and support compliance with applicable domestic, international, ITAR, and import/export requirements.
Action, Schedule & Risk Management:
- Responsible for maintaining project action, milestone, and risk information; monitoring upcoming contractual deliveries, customer milestones, reviews, and required submissions; and proactively following assigned activities through closure.
- Identify late or at-risk activities, coordinate appropriate mitigation and recovery actions, and escalate issues requiring Program Manager or functional management involvement.
ATTITUDES & BEHAVIORS:
- Self-starter with a strong sense of ownership and accountability; capable of working with limited day-to-day supervision, proactively identifying upcoming requirements, and following assigned activities through closure.
- Demonstrated ability to organize and prioritize multiple concurrent activities and deadlines while maintaining a high degree of accuracy in contractual, financial, program, and delivery documentation.
- Professional and persistent in obtaining required information and coordinating across functional organizations; works effectively within dynamic, matrixed, and international teams.
- Proactively identifies risks and issues, recommends appropriate solutions, independently addresses routine execution matters, and recognizes when issues require escalation to Project Management, Contracts, Quality, or functional management.
- Willing and able to learn and apply U.S. Government contracting requirements, DCMA and WAWF/PIEE processes, ERP systems, logistics requirements, and KONGSBERG business processes while adapting to changing program priorities.
ANY ADDITIONAL, PERIODIC OR OCCASIONAL DUTIES:
- Support Project Manager with customer visits, project reviews, audits, demonstrations, and other project activities.
- Support preparation and coordination of contractual data deliverables.
- Support periodic reconciliation of contract demand, deliveries, shipments, invoices, and outstanding customer acceptance.
- Other duties as assigned.
EDUCATIONAL REQUIREMENTS:
- Bachelor’s degree in Business Administration, Project Management, Supply Chain, Logistics, Finance, or a related discipline preferred. Equivalent combination of education and relevant experience may be considered.
NUMBER OF YEARS AND TYPE OF EXPERIENCE REQUIRED:
- Two (2) to five (5) years of experience in project/program coordination, government contract administration, production operations, logistics, supply chain, finance, or related activities.
Preferred experience includes:
- U.S. Government/DoD contract execution.
- Defense manufacturing or production environments.
- ERP/MRP systems.
- DCMA interaction and Government acceptance processes.
- WAWF/PIEE invoicing and receiving reports.
- Production delivery and shipping coordination.
- FAR/DFARS familiarity.
- International business or coordination with geographically distributed teams.
MINIMUM LEARNING TIME FOR THIS POSITION PROVIDED EMPLOYEE HAS NECESSARY EXPERIENCE:
- Three (3) to six (6) months
OTHER POSITION CONSIDERATIONS:
- Must have or be able to obtain a U.S. Passport and travel domestically and internationally as required; travel is expected to be approximately 15–20% after initial onboarding and training.
- Must work effectively as part of a team and demonstrate flexibility in adjusting priorities to meet changing project, customer, and corporate requirements.

Kongsberg Protech Systems USA performs final assembly and testing of Remote Weapon Stations. The company also performs repair and overhaul (R&O) of Remote Weapon Stations that come back from field operations.
