Operations Specialist

Job Description We are looking for an Operations Specialist to support daily business activity and help maintain efficient coordination across procurement, shipping, receiving, and reporting functions. This contract opportunity is well suited for someone who is highly organized, comfortable working with operational systems, and confident managing detailed administrative tasks. In this role, you will collaborate with internal stakeholders and external partners to keep materials, documentation, and workflows moving accurately and on schedule.

Responsibilities:
• Manage day-to-day operational records and transactions within business systems such as NetSuite or SAP to ensure accurate processing and visibility.
• Monitor incoming and outgoing shipments, confirm delivery activity, and help resolve delays or discrepancies that affect timelines.
• Assist with purchasing support and inventory-related coordination to maintain steady material flow across operations.
• Prepare, update, and maintain spreadsheets and operational reports in Microsoft Excel for tracking, analysis, and status reporting.
• Communicate with internal departments and outside vendors to align on orders, shipment activity, and operational priorities.
• Support shipping and receiving functions by reviewing documentation, organizing information, and keeping records current.
• Respond to inbound inquiries related to operational status, shipment updates, and coordination needs in a clear and courteous manner.• Experience in operations support, logistics coordination, administrative operations, or a closely related function.
• Working knowledge of NetSuite, SAP, or similar enterprise systems used to manage operational processes.
• Strong Microsoft Excel skills, including the ability to maintain trackers, organize data, and produce routine reports.
• Familiarity with shipping and receiving procedures, shipment logging, and delivery coordination.
• Ability to manage detailed tasks accurately while balancing multiple priorities in a fast-paced environment.
• Effective written and verbal communication skills for working with internal teams, vendors, and other business contacts.
• Comfortable handling inbound calls and providing clear updates related to operational activities.
