PUBLIC INFORMATION ASSISTANT IV

Overview The position has a varied array of duties. The primary purpose of this position is public contact to include initial screening of persons seeking public assistance per day with the agency, whether by telephone or in person. As support of the Administrative/Finance Unit, this individual has a significant concentration in the areas of Public Contact. This unit is responsible for the daily operations and functions of the Department of Social Services to ensure that services are rendered as mandated by Federal, State, and County laws, regulations and policies to clients and staff. This position requires the ability to adapt to sudden changes in work environment depending on the flow of clients requesting assistance and ever-changing procedures that are implemented at the local level as well as the state mandates. Responsibilities Workers must be able to work under pressure and perform multi-tasking, since numerous functions are performed simultaneously. This worker receives instructions both in written and oral form for supervisors and co-workers. However, the worker is expected to work independently after adequate instructions, with knowledge that assistance is available as needed from supervisors, co-workers, and manual research as appropriate. Visual attention in position is very important to help assess clients’ physical and emotional condition. The worker must be cognizant of verbal and nonverbal language of clients to accurately determine needs of clients and also detect problems or hostilities before they are out of control. The worker uses a car, calculator, copier, computer, fax machine, scanner, and telephone frequently. Work hours are 8:30 a.m. to 5:00 p.m., Monday through Friday. Occasionally the worker may need to work past 5:00 p.m. to resolve a problem before leaving for the day. Worker may also be called to man emergency shelter during disasters. Knowledge, Skills and Abilities Significant knowledge of and ability to use correct grammar, vocabulary, spelling, and office terminology to compose and/or proofread correspondence, reports, and other materials. Ability to record, compile, summarize and perform basic analysis of data. Ability to independently work with people with courtesy and tact in performing public contact duties that may be sensitive in nature. May require ability to supervise and coordinate the work of other staff, student workers or volunteers. Education and Experience Graduation from high school and demonstrated possession of knowledge, skills and abilities gained through at least two years of office assistant/secretarial experience, or an equivalent combination. Physical Requirements This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects; work requires stooping, crouching, reaching, walking, and lifting.
