Assistant Director of Graduate Admission

Reporting directly to the Director of Graduate Admission, the Assistant Director of Graduate Admission assists the Graduate School in executing recruitment, admissions, communication, and assessment strategies, aligning with the office mission. Responsibilities include conducting graduate student recruitment and admissions activities to meet student needs and recruitment objectives, collaborating with faculty program directors, and contributing to the formulation of office policies, procedures, and promotional content. Flexibility is required for occasional evening and weekend work to support special events such as recruitment and orientation events.
Essential Duties include the following. Other duties may be assigned.
Recruitment (20%)
- Follows and executes Graduate School-wide and program-specific recruitment goals, provides regular data analysis of prospective, inquiry and enrollment activity; and updates dean/staff on key data points and activity;
- Identifies recruitment challenges and suggests potential solutions to these challenges;
- Educates self and other staff on new programs and program development, best practices, and faculty work in order to ensure ongoing communication about these programs;
- Collaborates with faculty program directors on recruitment activities on- and off-campus;
- Develops/maintains personal contact, and performs comprehensive follow-up strategies with prospective graduate students through various communication strategies;
- Represents the Graduate School at recruitment events both on and off campus, including open houses, information sessions, orientations, professional conferences and recruitment events;
- Researches, provides data, and offers suggestions for other types of recruitment activity (including international recruitment) and related Graduate School best practices (marketing material, student services, etc.);
- Assesses recruitment activities - both formally and informally - to strengthen recruitment planning.
Admissions (35%)
- Serves as the primary point of contact for prospective students and communicates directly with students via mail, email, phone, in-person, and other means; advises new students on the class registration process;
- Investigates and addresses student application issues and communicates with the director on these matters;
- Provides initial review and analysis of applications to determine students' initial standing within the admissions process based on file status, grades, academic integrity, etc.;
- Consults with faculty program directors and facilitates program director review of application files and admissions decisions;
- Communicates with international students on visa requirements, processes I-20-related visa applications, and serves as a Designated School Officer (DSO) and/or confers with the Primary DSO on visa issues;
- Monitors provisionally admitted students for adherence to specified conditions; updates acceptance decision to rescind or fully accept;
- Regularly informs director and dean of the Graduate School of recruitment activity, and identifies and suggests solutions for problematic admissions matters;
- Participates in cross-training admissions activities to provide additional team support.
Policy, Procedures and Promotional Activities (20%)
- Actively participates in weekly staff meetings to ensure enrollment, marketing and other graduate school goals are addressed in a positive, timely manner;
- Develops, updates and maintains office procedures on a regular basis, as part of the continuous improvement process in the office;
- Participates in the development of new standard operating procedures and work flows;
- Regularly consults with director, program directors on admission and registration procedures;
- Regularly reviews website, academic program flyers, and other material to ensure they are up-to-date, and reports needed changes to the director;
- Monitors provisionally admitted students for adherence to specified conditions; updates acceptance decision to rescind or fully accept.
Special Projects (25%)
- Oversee graduate assistant with social media-related projects;
- Assists in preparation and implementation for special events including but not limited to information sessions, open houses, orientation, and commencement;
- Provides research and data collection for Graduate School projects;
- Assist the Director and Dean with special projects as needed.
Working Hours
- Full-time (37.5 hours week, Monday-Friday, 8:30am to 5pm)

Minimum Requirements/Qualifications
Bachelor's degree required, master's degree preferred. Min. of 2-3 years of work experience in fast-paced office work environment. Prior work experience with admissions, advising, and/or marketing in higher education setting preferred. Must possess strong interpersonal, written and oral communication, organizational and quantitative skills. Cross-cultural competency and/or foreign language experience a plus.
Technology Skills
Proficient in MS Office tools (Microsoft Word, Excel, and PowerPoint), e-mail and Internet. Ability to learn new applications quickly including organization-wide information systems and department-specific software applications.
Language Skills
Strong oral and written communication skills. Ability to effectively provide information and positively respond to questions from both external and internal customers both in person and by phone. Ability to write routine reports and correspondence.
Mathematical Skills
Proficient with statistical and financial concepts. Must have the ability to apply those concepts to tracking, projections, goal setting and interpreting reports. Must be able to draw conclusions from reports and make cost effective decisions regarding programs.
Reasoning Ability
Ability to solve practical problems and deal with a number of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to work independently and as a member of a group in developing and executing project plans. Ability to work in theoretical arena and apply logic as appropriate.
