Receptionist

Position Overview: We are seeking a professional, organized, and customer-focused Receptionist to serve as the first point of contact for visitors, clients, and employees. The ideal candidate is dependable, positive, adaptable, and self-motivated, with strong communication skills and the ability to effectively manage multiple priorities in a fast-paced office environment.

Responsibilities
  • Answer, screen, and direct incoming phone calls while providing general information and assistance.
  • Welcome visitors, maintain guest logs, and coordinate visitor access with building security.
  • Coordinate in-office meetings, including ordering, setup, and cleanup of meals and refreshments.
  • Monitor and manage conference room usage for scheduled and unscheduled meetings.
  • Receive, sort, distribute, and process incoming mail and packages.
  • Coordinate outgoing mail and serve as the primary contact for overnight and courier deliveries.
  • Maintain inventory and organization of office, kitchen, and meeting supplies.
  • Stock and organize communal snack and beverage areas.
  • Perform light upkeep of office common areas, kitchens, and conference rooms.
  • Manage and update company-wide calendars and meeting schedules.
  • Coordinate building maintenance requests and communicate with property management regarding repairs or service needs.
  • Troubleshoot and replenish supplies for office equipment, including copiers, printers, coffee machines, and water dispensers.
  • Manage postage equipment, supplies, and usage records.
  • Maintain office access records, including employee badges and keys.
  • Support workplace safety efforts by maintaining awareness of fire safety and emergency procedures.
  • Perform monthly corporate credit card reconciliations.
  • Prepare, collate, and distribute marketing and presentation materials.
  • Run occasional business errands, including post office and special delivery tasks.
  • Assist with document preparation, filing, scanning, photocopying, and administrative processing.
  • Support company events, team meetings, and special projects.
  • Provide general administrative support and assist with additional duties as assigned.
Qualifications
  • Previous receptionist, administrative assistant, front desk, or office support experience preferred.
  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal abilities.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
  • Professional demeanor and positive attitude.
  • Ability to work independently and collaborate effectively with team members.

Our program provides employees the flexibility to choose the type of coverage that meets their individual needs. Available paid leave may include Paid Sick Leave, where required by law; any other paid leave required by Federal, State, or local law; and Holiday pay upon meeting eligibility criteria.

Pay Details: $25.00 to $28.00 per hour
