Position Overview
We are expanding our reception team and seeking enthusiastic candidates who share our passion for animal care and customer service. This role is pivotal in delivering high-quality customer service and support to our veterinary team and clients. This is a 24/7 emergency facility and employees are expected to have open scheduling availability - while the schedule does not change frequently once assigned, we re-do our scheduling every 3 months so everyone's schedule changes at that time.

Qualifications:

• Exceptional customer service skills.
• Strong critical thinking and decision-making capabilities.
• Ability to maintain composure in high-stress situations.
• Ability to obtain a Med Clerk License through WA State.
• Strong attention to detail and accuracy
• Ability to handle multiple urgent tasks at one time and determine what needs to be done first (this can be extremely difficult in this role)

Preferred

• 1 year of veterinary or veterinary reception experience, OR at least 3 years as a receptionist in another medical setting
• Experience in medical billing or medical reception.
• Familiarity with medical terminology.
• High school diploma or equivalent.
• Active Med Clerk license in WA state.

Work Schedule

• Flexibility to work nights, weekends, and holidays is required.
• Our schedule is 4 10's, with 3 days off weekly, with overtime as needed.
• Our employees "bid" on their schedule every quarter (3 months) and then schedules are assigned for the following 3 months.

• Shift differential pay is $2.00 more per hour for hours worked between 10:00 p.m. through 8:00 a.m. Shift differential pay is $1.00 more per hour for hours worked between 10:00 p.m. Fridays through 10:00 p.m. Sundays: you could earn an additional $3/hr. for working overnights on weekends!

Requirements:

Essential Functions and Responsibilities

• Greet clients and their pets promptly, complete check-in procedures, and notify medical staff of patient needs based on urgency.
• Operate and navigate multiple software systems to manage client and patient information while upholding confidentiality standards.
• Utilize basic computer programs and Microsoft Office Suite applications.
• Print, scan, and upload referring clinic records, diagnostic reports, estimates, and consent forms.
• Present and explain treatment plans and financial estimates prepared by medical staff, ensuring clients understand recommended care and associated costs. Interact compassionately with clients experiencing a wide range of emotional and financial situations.
• Review invoices, discharge instructions, and medication directions for accuracy, notifying the appropriate staff of any discrepancies.
• Process payments accurately using various credit/debit systems and a cash register.
• Answer incoming calls, provide accurate information, and maintain service standards established by PEC.
• Monitor patient status and provide timely updates to clients as directed by medical staff.
• Maintain a clean, organized, and sanitary work environment, including reception desks, lobby areas, exam rooms, and client restrooms.
• Document all client and patient interactions thoroughly within the electronic medical record.
• Perform other duties as assigned.

Physical Duties and Responsibilities

• Ability to lift and carry up to 40 pounds from floor level or higher multiple times per day.
• Ability to sit or work at a computer for extended periods.
• Ability to stand, walk, stoop, bend, twist, kneel, crouch, and climb for prolonged periods.
• Ability to grasp, hold, and manipulate objects as required for daily tasks.
• Ability to learn basic animal handling restraint as needed
• Sufficient vision capabilities for close, distance, color, and peripheral perception, as well as depth perception and focus adjustment.
• Potential exposure to anesthetic gases with appropriate protective measures.
• Potential exposure to zoonotic diseases.
