What You'll Do

This position focuses on creating an exceptional patient experience by supporting front office operations, assisting clinical providers, coordinating patient appointments, and ensuring efficient daily workflows within our behavioral health practice.

  • Cross-Functional Collaboration: Partner closely with psychiatrists, therapists, medical assistants, research staff, and administrative team members to ensure seamless communication, coordinated patient care, and efficient daily operations.
  • Front Office Operations: Welcome patients, answer incoming calls, respond to patient inquiries, verify demographic and insurance information, collect required documentation, process payments, and maintain an organized and professional reception area.
  • Patient Communication and Customer Service: Communicate professionally and compassionately with patients, families, and caregivers while providing exceptional customer service, addressing concerns appropriately, and helping individuals navigate their behavioral health treatment journey.
  • Patient Scheduling and Care Coordination: Schedule new and returning patient appointments, coordinate provider schedules, manage appointment confirmations, process cancellations and rescheduling requests, and assist with treatment coordination across multiple service lines.
  • Quality and Administrative Support: Maintain accurate patient records, ensure timely documentation, assist with administrative workflows, support operational efficiency initiatives, and contribute to continuous process improvement.
  • Regulatory Compliance: Maintain compliance with HIPAA requirements, OSHA standards, organizational policies, infection control procedures, and all applicable regulatory guidelines while protecting patient confidentiality and safety.
  • Safety and Patient Support: Provide a calm, welcoming, and supportive environment for patients who may be experiencing emotional distress, anxiety, depression, or other behavioral health concerns by demonstrating professionalism, empathy, patience, and sound judgment while notifying clinical staff when additional support is needed.
  • Other Duties as Assigned

What You'll Bring

  • High school diploma or equivalent required; Medical Assistant certification preferred.
  • Current phlebotomy experience required.
  • Experience administering injections required.
  • Previous experience working in a behavioral health, psychiatry, primary care, neurology, or specialty medical practice preferred.
  • Experience working with individuals experiencing mental health conditions preferred.
  • TMS experience is highly preferred.
  • Experience with electronic medical records (EMR) systems preferred.
  • Strong customer service and patient communication skills.
  • Ability to remain calm and professional while interacting with distressed or emotionally vulnerable patients.
  • Excellent interpersonal, organizational, and time management skills.
  • Strong attention to detail and ability to multitask in a fast-paced clinical environment.
  • Fluent in English; ability to communicate in Spanish is highly preferred.
  • Commitment to compassionate, ethical, and patient-centered care.
